SUMMARY
This position is for a Receptionist in the Office Services Department. The person will be responsible for providing support to Reception and related Facilities functions. The right candidate for the role must possess a high degree of professionalism, superior communication skills and enjoy working in a fast-paced, collaborative team environment.
RESPONSIBILITIES
The individual will be involved in the following critical activities:
Greet, welcome and announce guests appropriately; direct them to assigned conference rooms if needed.
Act as the primary Receptionist during working hours, answer and direct all incoming phone calls.
Ensure guests are entered into building security prior to arrival. Maintain security by following procedures.
Issue new or replacement key cards to employees upon request; collect temporary key cards from visitors.
Assist with hospitality requests (e.g., create menu designs, place ad-hoc food & beverage orders).
Create and maintain daily conference room schedule.
Manage the main phone line general greetings.
Monitor and check the general voice mailbox every morning.
Maintain appearance of conference rooms.
Manage conference room reservations.
Maintain reception area and all common areas.
Provide back-up phone coverage for Chicago office.
Update monthly Zoom signage in all GCM conference rooms.
Assist with general administrative duties and projects, upon request.
EDUCATION, SKILLS AND EXPERIENCE REQUIREMENTS
The ideal experience and critical competencies for the role include the following:
Associate degree required or equivalent work experience.
Minimum 2 years related professional experience interacting with executive and senior management.
Business professional attire is required.
Proficient knowledge of Microsoft Office Suite.
Outstanding verbal and written communications skills.
High degree of integrity and the ability to recognize the requirements of confidentiality.
Demonstrate initiative and ability to work in a fast paced, changing environment.
Proven ability to work both independently and within a team.
Proven experience successfully managing multiple priorities with competing deadlines in a professional and efficient manner.
Outstanding organization, decision making and problem-solving skills.
Ability to take control and manage tasks independently to closure.
Flexibility and adaptability to various changing working conditions based on priorities.
It is expected that the annual base salary range for this New York City-based position will be $65,000- $70,000. Actual base salary may vary based on factors such as individual's experience, skills, and qualifications for the role. Employees may be eligible for a discretionary bonus based on factors such as individual, team, and company performance as well as a comprehensive benefits package.
