Our client, an asset management and commercial real estate services company, is seeking a Temporary to Permanent Receptionist to support their NYC office. Hours are 9am-5pm with a degree of flexibility as needed and requires 5 days in office. Note they are looking to move quickly and need to have someone start the in early November.
Responsibilities: Maintain accurate company directory and phone lists for NYC officeCoordinate visitor access to the buildingMaintain conference room scheduleOversee/Manage vendors, i.e. supplies, equipment, shipping, travel, expense, etc.User setup and terminationInvoice processing: Review vendor invoices for accuracy and indicate which departments and/or companies should to be chargedCoordinate and direct administrative support functions of the office which includes maintaining appropriate inventoryOversee/Manage facilities and maintenance requests. Act as liaison with Building Management, including scheduling of repairs and vendor coordinationAct as liaison with the Human Resources Department with respect to new hires, employee benefits, hiring temporary help and the termination processAssist with travel arrangements and expense reportsAssist with corporate eventsUpdate organization charts monthly and distributeProduce monthly travel reports and distributeOrder company stationery, envelopes, labels and business cardsWork on special projects as neededQualifications: Knowledge: Word, Excel, Outlook, PowerPoint, VisioSkills: Organized, detail oriented, self-motivated, strong time management skills and ability to multi-taskExperience: College degree preferred, 1-3 years office or administrative workMust be able to lift 15 lbs.Compensation/Benefits: $75,500 + bonus eligible + OT eligibleBeacon Hill is an Equal Opportunity Employer that values the strength diversity brings to the workplace.
