JOB SUMMARY: Responsible for answering calls, managing physician schedules, managing all incoming/outgoing documents from provider/patients and representing the clinic with a positive, professional attitude. Responsible for ensuring a smooth flow throughout the office and work to minimize patient wait times. Serves as the first point of contact for patients, deliveries, and office personnel.
EDUCATION, EXPERIENCE, TRAINING:
1. High School Diploma/GED required.
2. Minimum of one year of medical or receptionist experience preferred.
DUTIES AND RESPONSIBILITIES:
1. Open/closes clinic and ensures lobby and work areas are clean and free from items that could inflict harm on any person.
2. Answers the phone with a smile using the preferred greeting for the location.
3. Schedules patients, confirms future appointments and communicates financial obligation for the upcoming appointment.
4. Collects insurance information and performs eligibility checks including verifying the need for referrals/precertification.
5. Routes calls and faxes to the appropriate personnel. Accurately documents messages so calls can be returned promptly. Pull chart and supporting documents to be sent back with detailed message.
6. Greets all patients with a smile and facilitates smooth flow throughout the office to minimize wait time.
7. Provides necessary paperwork to patients for completion so appointment visit or medical records requests can be completed including screening questions and HIPAA paperwork.
8. Collect money owed for appointments and/or for previous balances.
9. Pages staff members and makes announcements as directed.
10. Manage vendor representatives, delivers and order supplies.
11. Manages medical record request.
12. Prepare charts for the following day along with any records, x-rays, lab needed.
13. Run daily reports and end of day reconciliation so money and reports can be picked up next morning.
