Implements policies and develops procedures for the retention of physical and electronic records in compliance with legal and regulatory requirements.
Monitors and maintains the records management program's policies and procedures.
Oversees operation and maintenance of records management practices, including creation, receipt, storage, retrieval, and disposition of records.
Maintains records according to the appropriate records retention guidelines and procedures to ensure compliance with applicable policies, regulations, and statutes.
Ensures proper and timely disposition of records in accordance with record retention schedules.
Coordinates with other departments and business partners to streamline record-keeping processes and facilitate easy access to information or physical documents when needed.
Establishes and oversees Bethpage's pledged process for collateralized documents.
Responsible for quality control check of loan records against 3rd party lender requirements, checks loan collateral to ensure all of the required documentation (originations, trailing documents) has been provided, prepares data files to the custodian, and works with the team in the preparation and shipment of collateral to the custodian as per their written instructions.
Addresses any collateral discrepancies & collaborates with S3 service center to make corrections to documents and send updated versions to the custodian in a timely manner.
Creates and maintains mortgage release process.
Develops and manages the documentation, tracking, and storage processes for paid-in-full collateral.
Ensure all paid-in-full (PIF) collateral complies with minimum retention requirements and oversee the disposition of these records.
Develops and manages annual budget.
Provides guidance and training to staff in the development and integration of records management methods and procedures into daily activities.
Establishes departmental standards and service levels objectives.
Manages third party service provider relationships to ensure contractual obligations are met
Conduct regular audits to ensure accuracy and completeness of physical records inventory.
Maintains effective communications with other departments to ensure business needs are being met
Actively contributes to ongoing process improvement and efficiency efforts.
Provide ad hoc project support of related projects
Certified Records Manager (CRM) preferred Familiarity with loan collateral and the various types of documents typically executed during the closing process.
Requires the ability to exert light physical effort in sedentary to light work.
Some lifting, carrying, pushing and/or pulling of objects and materials of light weight (40-50 pounds).
Ability to perform value look-ups and manage data across multiple files using formulas.
Tasks may involve extended periods of time at keyboard or workstation.
