Full-time, year-round position responsible for maintaining all student records, all class files, responding to requests for information and assistance, grade roster processing, and actively participating in the registration process.
Duties and Responsibilities: Exhibits good communication skills and cooperation with all College staff, students, and the community as a participating member of the Public Service team.Serves as the receptionist at the Criminal Justice Academy.Answers inquiries from various agencies and public service personnel concerning courses and individual requests.Performs various duties including, but not limited to the following:a. Organizes and maintains course files in accordance with FDLE policies.b. Maintains FDLE instructor certifications and files.c. Responsible for transmitting training records to the Florida Department of Law Enforcement in a timely and accurate manner.d. Prepares and ensures the accuracy and completeness of registration forms, as well as transmitting grade reports, registrations, withdrawals, and other pertinent student information to the student services department.e. Organizes and maintains student files and handles requests for information in a congenial and timely manner.f. Prepares completion certificates and assists with graduation ceremonies.g. Assists in making telephone and personal contact with instructors to ascertain their availability for teaching assignments.h. Assists in the preparation and duplication of handout and mail-out materials.i. Assists in the administration and grading of course examinations.j. Maintains and updates the training calendar on the website.Stays familiar with the FDLE mandated rules and regulations governing related programs.Monitors, records, and files attendance records for Criminal Justice Academy and advanced and specialized courses.Maintains strict confidentiality of any department or associated law enforcement agency proceedings or case information.Contributes to unit planning, assessment, and college institutional effectiveness efforts.Acts in accordance with local, state, and federal laws/regulations as well as College policies and procedures.Performs other duties as assigned.Requirements: Educational: High school diploma or equivalency preferred. Microcomputer coursework preferred. (An Associate degree may substitute for some of the required experience.)
Experiential: Three years of clerical/secretarial experience required.
Other: Ability to type proficiently required; computer literacy in word processing and spreadsheet applications preferred.
Additional Information: Reports To: Director, Criminal Justice Programs
Starting Annual Salary Range: $34,592 - $36,550 ($16.63 - $17.57 per hour)
