The Department of Family Medicine is seeking a qualified candidate for the position of Research
Administration Senior Manager. The successful candidate for this position will participate in many aspects of
research with a research team that includes physicians, biostatisticians, project managers, study coordinators,
data managers and administrative support staff. The selected candidate will have supervisory responsibilities
of the research administration team and maintain a deep level of advanced knowledge of principles, practices
and procedures used in research administration. This individual will advise Principal Investigators on best
research practices, including guidelines and compliance, funding strategies and mechanisms, study structure,
interface with research teams, grant preparation submission and post-award management/forecasting, and
comprehensive knowledge of the sponsored project lifecycle. The successful candidate will work with the
Associate Chair for Research in charting departmental scientific, operational and financial strategies for
research. The candidate will interface with the Department Financial Manager in the preparation of research
reports/forecasting.

The successful candidate must convey professionalism, have the ability to multi-task, work with limited
supervision, demonstrate clear communication, and provide proven examples of team building and teamwork.
Additionally, the successful candidate will have superior skills required to accomplish mission critical
objectives with the Department of Family Medicine and take a leadership role in promoting innovative

Supervisory: The Research Administration Senior Manager is responsible for leading research administration for the Department of Family Medicine and for overseeing multiple teams across the research enterprise, including but not limited to Pre and Post Award Research Grants Administration, Administrative Research Assistants, Research Assistants and Research Coordinators. Support all administrative supervisory aspects including but not limited to assisting the research teams in interviewing, hiring, orienting, timesheet approval, coaching, disciplining, etc.
Responsible for training and development of staff for research-related topics as well as diversity, equity, and inclusion-related training and strategic vision.
Faculty Research Administration Support: Regularly applies comprehensive knowledge of the research project lifecycle. Responsible for the management of the research process (e.g., workflow, communication and record keeping functions) for the research Family Medicine unit. This would include pre- and post-award activity, general project administration, research regulatory compliance and regular communication/meeting with faculty and
staff. Prepare, advise on, or when appropriate, manage, preparation of major program or research proposals, including development of program plans and schedules. Advise the Principal Investigator and/or unit on best practices to achieve effective, quality research and maintain regulatory compliance. Advise the Principal Investigator and/or unit on best practices to achieve effective, quality proposals and/or post-award management (e.g., forecasting); implement and manage timely submission process. Oversee the process/function of providing the Principal Investigator with monitoring reconciliation of grants and contracts to ensure expenses are being paid according to contract. Provide investigators with strategic guidance/consultation in contract preparation and submission, for example with data use agreements, non-disclosure/confidentiality agreements, and research agreements, other contracts. Interpret regulations and guidelines of multiple programs funding with relatively complex and broad guidelines for spending. Assist project directors in interpreting sponsor or third-party regulations. Oversee the management of various recharge rates across the Department. Work with media relations teams/resources to highlight research done across all teams and units to increase internal and external visibility of our work and our teams. Provide organizational and planning support for department wide research related events.
Department Leadership: Resolve local issues varying in complexity. Assist in developing and implementing research administration policies and procedures. Problems faced in this position are often complex and require extensive investigation and analysis. This job requires emotional intelligence and an ability to influence others to accept practices and approaches, and ability to communicate with Department leadership. Manage large projects or processes with limited oversight from supervisor. Facilitate connections between faculty and staff to promote collaboration. Review transactions and resolve issues that require a more complex level of financial understanding such as cost-sharing and/or effort reporting. Work with the pre-award team to develop complex project budgets per sponsor requirements/guidelines. Create multi-year budgets for complex projects. Ensure compliance with all appropriate policies and procedures. Ability to identify misconduct, noncompliance and nonperformance and properly report. May resolve larger-size compliance related issues. Identify potential compliance-related issues and offer suggestions for handling before escalating larger issues to Supervisor. Participate in the development and implementation of research departmental policies. Serve as unit compliance/management position by working with the post-award team in monitoring budgets, spending, and by providing guidance and counsel for the stewardship of sponsored research funds. Review complex sponsor guidelines and accurately interpret solicitation requirements for application with university policies. Serve on internal and external committees and workgroups. Represent the department to other administrators with appropriate authority to make commitments on behalf of the unit. -Advise Department management regarding unit finances, reports, and other business activities. Advise leadership on long-term financial viability of department given multiple grants and contracts from various sources with differing project end dates and participate in short- and long-term unit staffing needs and planning. Manage the production of budget projections and plans. Partner with the areas of Department finance and strategy as new initiatives arise. Applies understanding of constituencies in the University to how those groups issues relate to one another to resolve problems or increase collaboration. Other duties as assigned. Bachelor's degree, 7 - 10 years grant and contract experience, preferably in an academic environment or equivalent combination of education and experience. Ability to make decisions independently based upon established processes and work experience with programs. Advanced skills in Word, Excel and PowerPoint. Demonstrated understanding of multiple constituency groups in the University and works to improve relationships among those groups. Advanced knowledge of the deadline policy and purpose for Sponsors, ORSP, and units and understanding of how they relate. Comfortable working with a diverse study team Knowledge of U of M Health System Policies and Procedures Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
