Position Overview: We are seeking a highly organized, experienced and proactive Assistant to provide comprehensive support to the Senior Vice President (SVP) of the Americas. The ideal candidate will be adept at managing multiple priorities, possess exceptional communication skills, and demonstrate a strong attention to detail. This role will serve as a vital liaison between the SVP and various internal and external stakeholders. Location: Must be in Houston, although this is mainly a remote-based position. Occasional office visits. Responsibilities:Track and analyze key performance indicators (KPIs) for the sales team, providing weekly updates and reports to the SVP.Support the company's HR, Finance and Legal functions and needs. Oversee company administrative tasks, including scheduling appointments, managing calendars, and handling correspondence on behalf of the SVP.Identify, coordinate and manage logistics for trade shows and other events.Coordinate and manage proposals (scope of works) for customers. Review and reconcile company expense reports, ensuring compliance with company policies and procedures.Manage procurement and supplier systems for our customers ensuring we are compliant, and addressing any customer inquiries or concerns.Ensure company information, documentation and equipment is correctly handled and stored. Assist in updating company handbooks, policies and other important documentation.Assist with special projects and initiatives as assigned by the SVP, leveraging strong problem-solving skills and attention to detail to drive successful outcomes.Maintain confidentiality of sensitive information and exercise sound judgment in handling confidential materials and communications.Qualifications:Bachelor's degree in business administration, communications, or a related field preferred.Proven experience providing high-level administrative support to senior executives in a fast-paced environment.Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines effectively.Exceptional written and verbal communication skills, with a keen attention to detail and accuracy.Ability to work independently with minimal supervision, while also functioning as an integral member of a collaborative team.Flexibility to adapt to changing priorities and navigate complex situations with tact and diplomacy.Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.Compensation:CompetitiveExcellent Healthcare Plans401k
