Overview:
The Senior Administrative Assistant will be an integral member of PepsiCos Design Innovation Center and team and provide primary administrative support to two Vice Presidents and overall support for the office of over 100 designers located in SOHO, NY.
They will need to be proactive in anticipating and adapting to the needs of our dynamic and growing environment.
The ideal candidate must be experienced in handling a wide range of administrative and coordination related tasks and be able to work independently as required.
They will need to work well in a dynamic and fast-paced organization and manage multiple tasks and conflicting priorities, often against deadlines, with accuracy, flexibility, and attention to detail.
Responsibilities:
Oversee managers outlook calendar management approving/declining meeting requests based on priority and availability.
Collaborating with peer admins and stakeholders to align leadership calendars Own the regular, timely preparation and submission of Managers Travel & Entertainment expense reporting P-Card/invoice processing as needed -- timely and accurate Arrange meeting logistics in/outside of the office and abroad Provide auxiliary meeting support to Design Leadership team, as needed along with teaming to support with a #one team Anticipate project needs, discern work priorities, and meet deadlines with little supervision (and ensure having a keen ability to think out of the box to problem solve with great autonomy).
Leverage excellent written and verbal communication skills across interactions with cross-functional employees at all levels as well as external clients, vendors, partners Will play a key role in planning, coordination and execution of internal meetings and corporate events: Coordinate and execute logistical elements including venue relations, negotiations, AV, catering, travel arrangements and other duties as required.
Leverage proficient Excel and PowerPoint skills to deliver professional output of materials Manage multiple managers, Collaborating with a big amount of peer admins, across different business, functions, and regions Office Support: Maintain office conditions and organize office operations and procedures as shared responsibility among front line team: Manage monthly/quarterly office billing and payment submissions via SAP Oversee security badge access for entry to Office One of the first points of contact for all office guests and serves as onsite administrative support for visiting executives Manage multiple managers, Collaborating with a big amount of peer admins, across different business, functions, and regions Help drive the right culture among the managers team Culture: Plays a critical role on culture events within our culture club for the full studio proactively providing inputs and ability to execute #one team Help drive the right culture among the managers team Compensation & Benefits: The expected compensation range for this position is between $55,700 - $83,550 based on a full-time schedule.
Location, confirmed job-related skills and experience will be considered in setting actual starting salary.
Paid time off subject to eligibility, including paid parental leave, vacation, sick, and bereavement.

Qualifications: 5+ years Executive Assistant/Admin-related experience High school diploma, Associates/Bachelors preferred Demonstrate tact, highest integrity, maturity, professionalism, and respect for others Demonstrate strong attention to detail and problem-solving skills Someone who likes to be challenged, doesnt shy away from work -- looks for opportunities Someone who is flexible, resilient, thinks broadly, connects dots, leads with positivity and a can-do approach Demonstrated ability to interface with all levels of management Strong team player and assist other department staff as needed Discretion with sensitive information Ability and drive to manage many projects at once including day to day management and special projects Strong sense of urgency Experience in prioritizing work and multi-tasking Outstanding organizational and follow-up skills Excellent written and verbal communication skills Willingness to learn and take on projects Requires creative thinking and problem-solving skills Experienced/Proficient in Microsoft Word for Windows, Power Point, Excel, and Outlook
