Summary of Position
:
The Senior Administrative Assistant to our senior executive leadership team and Office Manager plays a crucial role in providing high-level administrative support to the executive leadership and ensuring the smooth operation of the corporate office. This role demands exceptional organizational skills, discretion in handling sensitive information, experience interfacing with high-level external stakeholders, and the ability to effectively manage multiple priorities simultaneously.
You are required to be able to use your organizational skills to manage your office space and your time, as you will collaborate with clients and colleagues in a fast-paced environment. We also expect you to have excellent verbal and written communication skills.
Responsibilities
:
Executive Support:
Calendar Management: Coordinate and manage executives' schedules, including meetings, appointments, and travel arrangements/logistics.
Communication: Serve as the primary point of contact between the executives and internal/external stakeholders. Handle correspondence and telecommunications phone calls on behalf of the executives, as needed.
Documentation: Prepare, edit, and proofread reports, presentations, and other documents. Maintain confidential files and records.
Meeting Coordination: Organize and facilitate executive meetings, including agenda preparation, minute-taking, and follow-up on action items. Ensure, when needed, all logistics, including venue booking, catering, and materials, are organized and managed effectively.
Travel Arrangements: Plan and coordinate domestic and international travel, including flight bookings, accommodations, itineraries, and expense reports.
Project Management: Assist executives with special projects, research, and data analysis. Ensure timely completion of tasks and initiatives.
Office Management:
Office Operations: Oversee daily office operations, ensuring a productive and organized work environment. Manage office supplies, equipment, mailing, overnight delivery, maintenance, etc.
Vendor Relations: Liaise with vendors and service providers, negotiating contracts and ensuring quality service delivery.
New Employee Onboarding: Assist in the onboarding process for new hires, including seat assignment, supplies, and working with HR to ensure completion of all new hire tasks.
Performs other duties as assigned.
Experience & Education:
Education: Bachelor's degree preferred.
Experience: Minimum of 5-7 years of experience as an administrative assistant, in support of senior executives or C-suite roles.
Skills and Abilities:
Organizational Skills: Exceptional ability to manage multiple tasks and priorities.
Communication Skills: Excellent written and verbal communication skills.
Technology Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
Collaboration & Teamwork: Proactive approach and demonstrated willingness to assist colleagues when needed
Problem-Solving: Strong problem-solving and decision-making abilities.
Graphics/Website Design Capability: Desired, but not required.
Discretion: Elevated level of discretion and confidentiality.

Work Environment:
Location: Office-based role (Waltham, MA), hybrid arrangement with 2 to 3 days in office per week.
