POSITION SUMMARY The Senior Executive Assistant provides essential support to four or five high-level principals, managing a variety of projects and administrative tasks tailored to their needs. This role enhances the principals' efficiency by managing their demanding calendars and meeting requests to optimize time management for their priorities.
Success in this role requires efficiently prioritizing tasks, managing calendars, and anticipating support needs in a fast-paced environment. The ideal candidate is organized, detail-oriented, and personable, with the ability to manage day-to-day responsibilities while keeping an eye on the bigger picture.
ESSENTIAL DUTIES AND RESPONSIBILITIES
\n Provide Comprehensive Administrative SupportOversee and manage complex calendars for multiple principals, ensuring efficient scheduling and timely coordination of meetings, interviews, events, and conferencesArrange domestic and international travel, including booking flights, accommodations, and transportationAssist in the preparation of reports, analyze information, and help create presentationsOrganize and coordinate internal and external meetings, interacting with stakeholders, vendors, and board membersPlan and execute team events and special projects, collaborating with cross-functional teams and managing logistics, including coordination with outside vendors as neededAssist with financial tasks, including expense reports and budget preparationRecord and provide accurate minutes of meetings as directedCollaborate closely with other Executive Assistants to ensure seamless communication between departments and key stakeholdersExercise independent judgment to prioritize conflicting demands and address issues with effective solutionsNavigate complex interpersonal dynamics with empathy, supporting the principals and fostering a positive work environment What Positions You For SuccessAt least 5 years of professional experience preferable supporting senior executivesProven ability to manage multiple high-priority tasks and independently resolve complex issues while supporting several principals with diverse prioritiesSkilled at building strong working relationships and serving as a reliable extension of senior leadersProven commitment to an inclusive approach in problem-solving, fostering a transparent and collaborative organizational cultureFlexibility to work with principals across different time zones, including internationallyAdvanced proficiency in Google SuitePolished and professional communicator with exceptional attention to detailDemonstrated ability to thrive in a fast-paced, startup-like environments, exhibiting strong initiative, adaptability, and resilience under pressureCollaborative team player with the capability to work effectively both independently and as part of a teamExperience with AI applications in the workplace, with a strong desire to expand knowledge and integrate additional AI toolsProfessional maturity, discretion, and high emotional intelligence, with excellent time management skills
\nCOMPENSATION $100,000 – 105,000 salary base + bonus
