The Senior Executive Assistant - Department of Pediatrics is a key position in support of the University of Washington Department of Pediatrics' Chair who is also the Associate Dean of the UW School of Medicine and Seattle Children's Senior Vice President and Chair Academic Office. This role serves as the primary point of daily administrative support and coordination for the Chair/Assoc Dean/SVO/CAO.
The Senior Executive Assistant manages the Chair/Assoc Dean/SVO/CAO's calendar, supports logistics, and coordinates meetings to ensure they are able to dedicate time to critical leadership activities that advance the mission of the Department of Pediatrics. Responsibilities include:
Arranging appointments and scheduling visitors
Coordinating executive travel
Coordinating agendas and schedules for meetings
Preparing and distributing meeting minutes
Processing business expense reports
With delegated authority, approving timecards and routine business expenses for executive's direct reports
Providing Department leadership recruitment support
Supporting the Chair/Assoc Dean/SVO/CAO in administrative responsibilities related to executive personnel management
Developing standard work processes for the department and assigned committees
Partnering with teams across the organization to ensure completion of time-sensitive reports, projects, presentations, and communications
The position involves close interaction with executive leadership and contributes to administrative support of the Department of Pediatrics Executive Council and Executive Committee, involving considerable discretion and initiative. This role reports to and works closely with the Supervisor, Administrative Operations, and collaborates closely with other staff who function in roles that support and advance Chair/Assoc Dean/SVO/CAO priorities.
The role also liaises with other senior executive assistants and other key contacts in the hospital, research, and foundation to ensure alignment and coordination across the system. Scope of work typically requires extensive administrative experience to senior executive level management. Exercises independent judgment to reflect the senior executive's style and company policy.
Required Education and Experience
Bachelor's degree or equivalent experience. Minimum of five years' experience in providing administrative support to executive leadership. Experience taking and transcribing meeting minutes.

Experience working in a large, complex organization. Experience working in a healthcare environment, in either a hospital or research setting. Experience with project management. Experience working with budgets.
Compensation Range
$76,440.00 - $114,650.00 per year.
Salary Information
This compensation range was calculated based on full-time employment (2080 hours worked per calendar year). Offers are determined by multiple factors including equity, skills, experience, and expertise, and may vary within the range provided.
