Job Scope:To provide administrative support to the HR team in all areas of the HR function.
Key Responsibilities:Provide support on HR initiatives and projectsProvide overall administrative support to HR team to include coordination, processing and filing of employee informationSupport of the onboarding/offboarding process with the creation of offer letters, welcome packets, onboarding documents as well as employee offboarding process and documentationLead Day One New Hire OrientationsResponsible for new hire onboardingFacilitate employee exit meetingsResponsible for the ongoing administration of new hires, transfers and terminations in the payroll system to include coordination of documents with Managers and data entryResponsible for IT ticket submission and tracking of employee changesAssist HR team in recruitment process with job postings, resume screening, background checks and scheduling candidate interviewsResponsible for review, submission and tracking of hiring requests in Adobe SignProvide basic HR information about programs available to employeesProvide support to the HR team with the administration of Health & Wellness programs and Employee InitiativesSupport basic employee relations concerns and escalate when appropriateRespond to internal and external HR related inquiries or requests and provide assistance as necessaryProcessing HR vendor invoices for payment and order office supplies for HRFiling, document retrieval and mail deliveryAssist team with coordination of employee and Company-wide events. Responsible for annual employee event calendar managementManagement of CA required COVID case tracking and reporting to include workers compensation notification within HR team (through February 2025)Assistance with HR projects as requiredDistribution of HR and Company Communication as requiredPerform other duties as assignedSkills/Experience Required:Minimum of three years of progressive HR experience with prior experience in an HR Coordinator role, preferredBA/BS degree in Human Resources or related field, preferredPrior experience with multi-state HR data entry into payroll and HR systems required. ADP Workforce Now experience a plus.Basic knowledge of federal, state and local employment lawsPrior experience managing onboarding to include background checks and I9 processing requirementsPrior experience with recruitment administration to include applicant tracking and job postingKnowledge of employee benefits and the open enrollment process preferredDetail oriented and deadline focusedStrong verbal and written communication skills with strong customer service focusAbility to effectively interact with employees at all levels within the organizationPrior experience in media, entertainment or technology organizations preferredAbility to be flexible and thrive in a fast-paced work environment, with changing prioritiesDemonstrated proficiency in MS Office, including Excel, Word, PowerPoint, Outlook, SharePointWork Environment and Physical Demands:This job operates in a professional office environment. Position Type/Expected Hours of Work:Prompt and regular attendance is required, employees are expected to begin work at the start of their scheduled shift and to complete their assigned work shift according to the responsibilities of their position. This position works standard business hours, but may require occasional overtime.
