This position will provide support to the facilities departments in Snohomish. The Facilities Sr. Manager works closely with housing staff and vendors to provide critical coordination, communication and information for the efficient functioning and productivity of facilities and housing. This position will provide leadership and operational direction to Facilities staff through training, performance management, assigning work/priorities, and project oversight. The Senior Manager, Facilities Operations serves as a leader within the Facilities Department, calculating costs, planning special projects, and executing plans safely and efficiently. The position requires a sound understanding of facilities management principles to ensure safety and compliance in YWCA's building spaces and housing communities. This position has a social justice component that will require critical thinking around how external systems impact our work through the lens of racism and intersections with poverty—committed to YWCA's core principles of antiracism work and grounding those principles in everyday work. \n Expectations of your role:Facility OperationsManages the daily operations of the YWCA facilities department across Snohomish County to ensure properties remain safe, orderly, and well-maintained while meeting programmatic and organizational needs.Hands-on with Facilities team to keep workload flowing and on-time as needed.Monitor the status of rent-ready inventory; take steps to ensure units are available within specified timeframes and meet quality standards. Reviews work orders to provide assignments, and unit turns completed timely in less than 30 days.Develop and implement effective work order management strategies, including associated emergency, predictive, preventative maintenance, and daily plans to deliver curb appeal, cleanliness, and property appearanceServe as primary contact for the Facilities department in coordination of maintenance work with housing staff, commercial tenants, and preferred contractors in Snohomish CountyWork with Facilities staff to organize and maintain tracking systems for inventory and key systems.Use professional discretion and independent judgement to develop standards, order materials and maintain as adequate inventory of required materialsSupervise preventative maintenance on all buildings, facilities and equipmentMaintain records on work orders performed, as well as items purchased; write reports as requiredConduct regular walkthroughs of all properties weekly. Monitor and maintain monthly utility analysis of properties. Alert facilities and/or housing staff of any unusual findings to be addressed accordingly.Safety and ComplianceKeep mandatory inspections up to date and ensure that maintenance activities are following Local, State and Federal requirementsConduct safety training/meetings, with documentation and reportsServe as co-chair advisor on the YWCA safety committee Assist with risk management program, including tracking of incident reports and assisting with coordination of insurance claimsWork with Asset Management staff to support reporting to fundersEnsure YWCA vehicles are properly licensed and maintained Project & Vendor ManagementDuring the planning process for capital and smaller-scale projects, make recommendation for the YWCA standards, material, labor, and time required for the projectProvide onsite management of small-scale projects with multiple vendors from beginning to endCoordinate management of supplies inventory, assist in selecting vendors, and audit order deliveriesMaintain organized vendor files, services contracts, preventative maintenance schedules, comprehensive needs assessment documents and other operations files Coordinate access to properties for vendors as needed Leadership and PartnershipDevelop positive and healthy relationships with co-workers, volunteers, vendors, residents, and clientsWork closely with other agency managers, particularly those in housing, to ensure that YWCA properties meet program and funder needs and requirementsActively participate in the recruitment and retention of diverse teams of professionals; create accountability and ownership among team members through the communication of clear expectations, leadership, and provision of timely performance feedbackIdentify opportunities to grow the Team through training and development utilizing hands-on and classroom-type curriculumModel the highest standards of business professionalism; lead the training and development of team members through coaching, motivating, and mentoring on company culture, business goals, and superior customer serviceOther Responsibilities:Able to travel between YWCA locations regularlyIs available on-call for building emergencies Communicates regularly with Senior Director or Facilities; participates in safety and compliance related meetings Incorporates the YWCA's Social Justice Initiative by understanding how racism, sexism, classism, and other oppressions intersect and are embedded in institutionsAdheres to all Volunteer Services protocols relative to volunteer usage, recognition, and monitoringAssures that clients, staff, volunteers, and community partners are treated with respect and dignity regardless of race, ethnic background, gender, or socioeconomic background.
