Purpose
Performs daily administrative coordination of the Shipping & Receiving Center for the Walker Department of Mechanical Engineering.
Responsibilities
S&R and Distribution:
* Ensure daily administrative coordination and operation of the departments Shipping, Receiving, & Distribution Center (SR&D) via organizational best practices.
Hire, train, and coordinate student staff and package receipt/distribution coverage in the SR&D Center and departmental database (TEAMS).
* Ensure timely receiving and distribution/delivery for temperature sensitive items.
Coordinate large equipment/heavy deliveries to include use of forklift in accordance with university policies, EHS guidelines, and departmental best practices (PointPlus).
* Provide constant administrative support for the department including delivering/sorting of USPS mail to departmental mailroom or offices, as needed.
* Point of contact for departmental eShipglobal shipping label needs (FRMS).
Maintain database log ensuring proper information is recorded.
Collaborate with UT EHS HazMat shipping to ensure Federal, State, and Local guidelines are met when shipping research material(s) to and from the University following established best practices and authorization requirements.
Inventory Support:
* Maintain database for self-tagging & updating inventory equipment for the department (NU1).
* Regularly review departmental PO log.
* Manage capitalized and controlled equipment transfers to surplus, or other units, as directed/needed.
Obtaining approval documentation as required (CCART).
Other related functions as assigned:
* Maintain departmental Fleet Operations vehicles and database according to university policies, procedures, and departmental best practices (CARMA).
* Assist with ETCBM email ticket system to submit service request for incident reports related teaching labs and research technical support.
Required Qualifications
* High school graduation or GED.
Five years of experience with clerical functions
* Strong organizational skills
* Ability to work independently or as a member of a team
* Ability to interact in a professional manner with faculty, staff, students, and the public
* Excellent verbal and written communication skills
* Independent decision making and problem-solving ability
* Tact, diplomacy, and judgment in dealing with students, faculty, and administrators
* Professional appearance and demeanor.
Demonstrated experience with Microsoft Office
* Attention to detail
Relevant education and experience may be substituted as appropriate.
Preferred Qualifications
* Bachelor's degree in a field related to the work to be performed
* Experience with UT's inventory processes and procedures
* Experience with Managing CCART transfers
* Experience with DEFINE, FRMS, POINTPlus
* Experience with DEFINE voucher processing
Salary Range
$45,000+ depending on qualifications
Working Conditions
* May work around standard office conditions.
* Repetitive use of a keyboard at a workstation.
* Use of manual dexterity.
* Climbing of stairs.
* Must be able to lift up to 50 pounds.
* Job requires sitting, standing, and bending on a daily basis.
