Special Projects & Operations Manager University of California Los Angeles Budgeted Pay Scale: Full Salary Range: USD $31.20/Hr. - USD $49.77/Hr. Department Summary The UCLA Latino Policy & Politics Institute (LPPI) seeks a dynamic professional to serve as the Operations and Special Projects Manager (SP-OM). LPPI leverages UCLA's cross-disciplinary strengths to create an enterprise-wide home for Latino social policy with expertise in over a dozen issue areas including civil rights, criminal justice, educational equity, health access, housing, and voting and civic participation. Position Summary The UCLA Latino Policy & Politics Institute (LPPI) seeks a dynamic professional to serve as the Operations and Special Projects Manager (SP-OM). LPPI leverages UCLA's cross-disciplinary strengths to create an enterprise-wide home for Latino social policy with expertise in over a dozen issue areas including civil rights, criminal justice, educational equity, health access, housing, and voting and civic participation. Under the direction of the Deputy Director, the SP-OM will manage recurring special events/projects for the department. The SP-OM will also manage ad hoc departmental events and executive leadership priority projects. The incumbent will manage, coordinate, and execute the organization's workflow and programs by overseeing day-to-day operations. The Operations & Special Projects Manager will take primary responsibility for developing and implementing administrative processes that streamline daily operations in accordance with UC policies and procedures. This includes administrative and IT processes for research and program projects as well as organizational space management. The SP-OM will coordinate with LPPI's administrative team to lead weekly meetings to discuss and execute logistics for current departmental events, special projects, and financial updates. The SP-OM will coordinate and plan events and projects alongside the various LPPI departments. The incumbent will be responsible for maintaining software inventory, department online accounts and subscriptions and maintaining the organization's space needs. The incumbent will receive direct supervision from the Deputy Director and will work with all directors as the project manager liaison. Salary & Compensation *UCLA provides a full pay range. Actual salary offers consider factors, including budget, prior experience, skills, knowledge, abilities, education, licensure and certifications, and other business considerations. Qualifications Skill and flexibility to perform a variety of miscellaneous projects that involve problem solving and troubleshooting as needed for non-standard, urgent, or unexpected circumstances. (Required) Skill in leadership as demonstrated by exercising mature judgment in independent decision-making and exercising initiative and creativity in implementing departmental and university policies and procedures (Required) Oral communication skills to convey information clearly and accurately to faculty, students, staff, the public, campus service departments, and outside vendors. (Required) Ability to multi-task, triage work priorities, and adhere to oral communication skills to convey information clearly and accurately to faculty, students, staff, the public, campus service organizational expectation of accuracy and attention to detail in a dynamic environment with competing needs. (Required) Highly organized with strong skills in using project management tools to compile information in the most efficient and informative, manage project tasks, and track progress and information. Editing/proofreading skills and attention to document consistency to contribute to written pieces as required. (Required) Ability to make high level observations while being mindful of the details under stringent time constraint. (Required) Ability to exercise a high degree of diplomacy, confidentiality, and professionalism in interactions both internally and externally. (Required) Working knowledge of university policies and procedures for IT management, and ability to work with Luskin IT team. Knowledge of UCLA procurement and reimbursement systems including BruinBuy Plus, Travel Express Concur, and Purchasing Card use and procedures. (Required) Skill in interacting diplomatically with faculty, staff, students, and administrative offices, assuring confidentiality of sensitive documents, communicating established policies, and recommending changes when appropriate, with an ability to maintain equanimity during exchanges of ideas, information (Required) Proficient in project management concepts and procedures to manage and execute organization wide projects. (Required) Written communication skills to prepare concise, logical, and grammatically correct analytical and administrative reports, correspondence, and other communication pieces. (Preferred) Detailed knowledge of university administrative policies and procedures as well as departmental, academic, and administrative structures and of offices conducting business pertinent to education. (Preferred) Education, Licenses, Certifications & Personal Affiliations Bachelor's Degree In related area an or equivalent experience (Required) Special Conditions for Employment Age Requirement: Candidate(s) must be 18 years or older to be eligible to be hired.
