Administrative Specialist (Office Manager) in Klein College of Media and Communication's CSI department is responsible for addressing inquiries requests and needs of the department's students and faculty.
Maintains a smooth operation of the department's academic office working with the Department Chair, Assistant Chairs and Sequence Heads.
Greets faculty, staff, students and visitors while responding to routine inquiries.
Answers telephones, screens calls and take messages.Hires and supervises student workers which include preparing job requisitions, reviewing applications, interviewing and selecting students and processing final hiring paperwork.Assists in processing travel and expense reports for faculty and guests, and distribution of the departmental scholarships for students.Assists graduate and undergraduate students in registering for classes by handling special course approval forms; resolves student problems concerning course registration, course overload and closed section.Creates requisitions for adjunct faculty including collecting the required documents and prints out appointment letters for Adjunct Professors.
The Sr.
Administrative Specialist (Office Manager) will work with the Chair/Assistant Chair of the department to create a course schedule for each semester and update all course sections in Banner INB.
These scheduling tasks will include the assignment of meeting times, instructional methods, primary instructors/TAs and appropriate classrooms for the curriculum of each course; monitoring of maximum capacity during student registration periods and corresponding to students if courses need to be cancelled by the department.
Performs other related duties as assigned.
Required Education & Experience: At least three years of related administrative experience, preferably in a higher education environment.
An equivalent combination of education and experience may be considered.
Required Skills & Abilities: Greets faculty, staff, students and visitors while responding to routine inquiries.
Organizes and maintains undergraduate files.
Answers telephones, screen calls and take messages.
Handles department seminar announcements by sending to KLN listserv.
Arranges speakers' travel and hotel arrangements.
Schedules courses, process express mailings.
Submits requests to facilities management and outside contractors for building emergencies.
Processes department work order requests.
Orders department stationery supplies.
Processes building access forms for faculty, staff and graduate students.
Hires and supervises student workers, which include preparing job requisitions, reviewing applications, interviewing and selecting students and processing final hiring paperwork.
Manages the expenditures made on departmental budget.
Assist in the processing travel and expense reports for faculty and guests.
Assists graduate and undergraduate students in registering for classes by handling special course approval forms; resolve student problems concerning course registration, course overload and closed section.
Answers questions from faculty in reference to enrollment and class lists.
Serves as liaison for faculty, adjuncts, students, visitors and guests.
Assists with the distribution of the departmental scholarships for students.
Creates requisitions, collect the required documents and print out appointm nt letters for Adjunct Professors.
Processes parking for adjunct faculty members.
Other duties as assigned.
