The Department of Special Education and Rehabilitation seeks to hire a Staff Assistant II who will assist the Department Head and faculty in general departmental operations. Undergraduate Program Support Manage systems for tracking student inquiries, applications, assessments and communications Collaborate with the SPED undergraduate Student Teaching Coordinator to organize student teaching (ST) applications, placements, workshops, trainings, assignment and filing Collaborate with the SPED practicum coordinators to download and file practicum observations each semester Collaborate with SPED advisors to monitor student tracking systems, maintain record and documentation of advising interactions, triage student inquiries Other general coordination support with undergraduate student teaching coordinator, undergraduate advisors, and undergraduate program coordinator Track and process payments for mentor teachers and supervisors General Department Support  First point of contact for SPERC office Perform office duties, including answering phones, directing calls to appropriate parties, data entry, filing, appointment scheduling, maintaining email lists, sending group emails, sorting and distributing mail, and other general duties as assigned Assist faculty in various office tasks and provide class support as requested Business/Financial: Maintain P-cards, payments, purchases, and deposits Maintain/order office supplies Support department furniture needs – selection, ordering, disposal Coordinate maintenance/custodial service tickets Facilitate IDEA teaching evaluations Support faculty in use of technology (conference room, etc.). Refer to specialists outside department when appropriate Assist with departmental reports and databases Maintain Dept. Head calendar and assist with scheduling Schedule meetings as requested (in-person, tele-conference, video-conference, ombudspersons, etc) Coordinate scheduling and details for department events (e.g., retreats, Honors program, Holiday party, undergraduate/faculty meetings) Take minutes at various departmental meetings Manage department keys and prox cards Manage department social media accounts and work with faculty to generate content and publicize department events and accomplishments Performs miscellaneous job-related duties as assigned Minimum Qualifications Two years of experience in an office setting or an associate degree/vocational training is required. Preferred Qualifications Previous experience with tasks described in the responsibilities section of the job announcement. Knowledge, Skills, and Abilities Skilled with computers and related software. Skilled with basic office equipment, including printers, copiers, and telephone systems. Good organizational skills. Strong verbal and written communication skills. Ability to handle sensitive and confidential business data and personal information. Ability to work without supervision. The Department of Special Education and Rehabilitation Counseling (SPERC) is located in the Emma Eccles Jones College of Education and Human Services. The department consists of both on campus and distance based educational programs in Rehabilitation Counseling (Master's), Special Education (Undergraduate and Master's), Alternative Teacher Preparation Programs, and the Ph.D. in Disability Disciplines.
