COORDINATES WITH: Nursing Department Staff, Payroll and Human Resources Departments.
EDUCATION/EXPERIENCE/QUALIFICATIONS:
High School Graduate required.
Minimum of 2 years clerical experience or equivalent required.
Microsoft Office and personal computer experience required.
Previous scheduling and staffing experience preferred.
SBV Knowledge preferred.
Knowledge of Greater NY 1199 Contract Preferred.
PHYSICAL/MENTAL QUALIFICATIONS:
Must be able to sit for long periods of time, intermittently interrupted by walking and standing.
Must be able to cope with the emotional and mental stress of this position.
Must be able to see and hear or use prosthetics that will enable these senses to function adequately to assure that the requirements of this position can be fully met.
SCOPE:
Prepares time and work schedules for each staff member of the Nursing Department in a timely manner.
Adheres to staffing PAR levels to ensure adequate staffing for resident care.
Performs payroll maintenance for the department and agency staff as necessary.
Maintains records and files such as attendance records, daily staffing sheets, employee files.
DUTIES AND RESPONSIBILITIES:
1.
Responsible for planning nursing employees' monthly schedules.
Considers all benefits time requests based on the staffing needs of the facility and adhering to union contract and facility policy.
2.
Provide replacement staff covering all call-ins based on seniority, union contract and facility policy.
3.
Responsible for completing daily staffing sheets for all shifts, noting changes for replacement staff, agency staff, call ins, charge pay, etc.
4.
Reviews hand punches regularly for attendance and lateness.
Maintains attendance cards and notifies Nurse Managers of any attendance/lateness issues.
5.
On a weekly basis completes payroll for the Nursing Department Staff, including agency workers, and arranges for distribution of paychecks.
6.
Coordinates the distribution of Nursing Department pay checks.
7.
Answers phones and maintains all related files associated with the position.
8.
Maintains and tracks nursing positions and shifts.
9.
Train and orients new staff to attendance and scheduling policies.
10.
Prepare written reports on a monthly basis or as requested.
11.
Informs Director of Nursing of vacant positions and need for hiring.
12.
Performs other related duties as assigned or unrelated duties as requested in an emergency.
