Position Summary Information Primary Purpose of Organizational Unit Launched in 2013, the Department of Applied Physical Sciences (APS) is the first new science department in the College of Arts and Sciences in nearly 40 years. Including the Chapel Hill Analytical and Nanofabrication Laboratory (CHANL) and the graduate program in material sciences, Applied Physical Sciences has united numerous scientific entities on campus to further its mission of finding interdisciplinary solutions to real-world problems. Its newest endeavor, BeAM (Be A Maker), is a university-wide initiative that incorporates Making into research, education, and entrepreneurship. BeAM is comprised of several spaces, including a makerspace in Hanes Art Center, Carmichael Residence Hall, and a 3,400 square foot Makerspace in Murray Hall, all of which serve the entire UNC community. Position Summary The student and administrative support specialist (SASS) will provide administrative support to Applied Physical Sciences, including supporting graduate student services. The role is also responsible for a variety of administrative, reporting and communication duties that support the success of important department initiatives such as developing/implementing our undergraduate major in Applied Sciences. Reporting duties include gathering data and coordinating the annual USNWR and SACSCOC rankings/evaluations processes. The SASS will be highly proficient in the Curriculum Information Management system and work closely with the DUS to submit and update courses. This position will act as the department's liaison to the Graduate School and University Registrar's Office, inputting the department's teaching schedule to ConnectCarolina. Other administrative support responsibilities include supporting committees such as the undergraduate program committee by scheduling meetings and taking notes, scheduling annual peer review teaching sessions for each APS faculty member, and serving as the SET and OSM coordinator. The SASS provides other academic support for the faculty in numerous ways such as through enrollment statistics, room requests and assisting with enrollment of students. The SASS is also responsible for working with department leadership and faculty to manage and implement co-curricular programming and ensuring the delivery of successful, high-quality APS engagement events with campus and external outreach components. The SASS is responsible for supporting graduate students in the Materials Science PhD program and undergraduate students in the Applied Sciences and Engineering minor. This role requires knowledge of graduate student admissions, funding channels, and course registration, including expertise in Slate, ConnectCarolina, GSHIP and GradStar systems. The SASS will ensure that graduate student HR and finance functions are executed in a timely manner without error. Minimum Education and Experience Requirements High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience. Required Qualifications, Competencies, and Experience Expertise and experience using Microsoft Office, including Word and Excel Excellent written and verbal communication skills. Ability to work independently and within a team. Exemplary time management skills and must possess strong interpersonal skills. Excellent organizational skills, the ability to multi-task as well as be flexible and adaptable. Ability to manage time and meet critical deadlines. Must be able to follow through, complete tasks and resolve issues. Ability to work with a high level of accuracy and attention to detail. Demonstrate the ability to work with confidential and sensitive information. Must be able to exercise sound judgment and work independently. Preferred Qualifications, Competencies, and Experience Prior experience using ConnectCarolina, PeopleSoft, Online Syllabus Manager (OSM), Curriculum Information Manager (CIM), Online Learning Contract Manager (OLCM), and Ad Astra or similar systems. Knowledge of University policies, procedures, organizational structure, etc. related to student services. Prior experience working with graduate and/or undergraduate students within an academic unit.
