Beyer Blinder Belle, a nationally recognized architecture and planning firm with offices in New York, Boston, Washington, D.C., and Miami, is seeking a highly skilled and self-motivated Studio Coordinator / Assistant.
This individual should be versatile, possess excellent communication skills, and be ready to support a dynamic business environment.
In this collaborative role, responsibilities will include providing administrative support to the studio's leadership team, liaising with marketing and human resources, providing executive support for Partners within the studio on a one-on-one working relationship, providing external relations effort, and working on special assignments with firm leaders.
This role will be in-person, with the flexibility to work from home on Fridays.
Roles and Responsibilities
Studio Coordinator
Provide assistance to Principals, including project administration, booking travel, and assisting with project delivery assignments, as well as client/consultant communication.
Deliver organizational support to the studio by liaising with other studios within the office, keeping staff informed of upcoming events, organizing studio meetings, and keeping the studio presentable for Client visits.
Maintain a professional demeanor with BBB Staff, clients, and visitors.
Act as liaison between marketing and Principals regarding time-sensitive requests related to PR and marketing deadlines, assisting with proposals and award submissions, and maintaining accurate project information.
Lead administration of periodic and special firmwide projects such as supporting Human Resources during the performance review process, onboarding of new staff, supporting new processes, and collaborating with other Studio Coordinators in supporting the Chief Operating Officer and Managing Partner in the administration of Strategic Plan and ad-hoc projects.
Executive Administrative Assistant Provides a wide variety of administrative tasks for Partners, including managing an extremely active calendar of appointments, completing expense reports, composing and preparing correspondence that is sometimes confidential, arranging complex travel and detailed travel plans, itineraries, and agendas, and compiling documents for travel-related meetings.
Plans, coordinates, and ensures that Partners' schedule is followed and respected.
Provides a "gatekeeper" role regarding Partners' time.
Assists Partners in communicating with clients, consultants, and industry leaders in project related matters.
Works closely and effectively with Partners to keep him/her informed of upcoming commitments and responsibilities, following up appropriately.
Successfully completes deliverables with a hands-on approach, including drafting letters, personal correspondence, and other tasks that facilitate the day-to-day activities of a Partner.
Prioritizes conflicting needs, handles matters expeditiously and proactively, and follows through on assignments to successful completion, often under deadline pressure.
Support Partners with non-office related engagements, such as participation in Board meetings or other outside organizational activities.
Qualifications Strong time management skills with the ability to perform and prioritize multiple tasks with excellent attention to detail.

Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat (familiarity with InDesign is helpful), Deltek Vantage Point, and social media web platforms.
Excellent written, oral communication, and interpersonal skills.
Bachelor's degree.
Beyer Blinder Belle Architects and Planners believe in fair and equitable pay.
A reasonable estimate of the base salary range for this role is $60,000 - $70,000.
Please note that actual salaries may vary within the range or be above or below it based on factors including, but not limited to, experience, education, professional achievement, and business needs.
In addition to base salary, employees will participate in an annual performance review process with the possibility of receiving a performance-based bonus and base salary increase each year.
