Responsible for the daily coordination and supervision of clerical staff, transcription services and daily office functions in all UPHDM occupational medicine clinics. Works cooperatively with the Manager of Business Operations, Manager of Clinical Services and Director to coordinate and manage the activities of the clinic to ensure operational components of the department achieve customer service and financial objectives. Department timekeeper for clerical and non- contracted medical providers and management staff; reviews and adjusts weekly time records as needed to prepare for final approval by department director.
• Records and tracks PTO and CME expenses for medical staff; initiates check request for reimbursement to providers.
• Processes mileage reports for approval and payment for occupational health staff and providers; initiates check requests for reimbursement to staff for CEU expenses.
• Functions as Systoc (EMR) support and super-user for occupational medicine; works with UPHDM IT department as needed to insure the UPHDM Occ. Med. department is compliant with all updates.
• Responsible for supervision, recruitment, hiring, termination, disciplinary action, new employee orientation, annual competency compliance, training and personal performance development/evaluation of all clerical staff.
• Coordinates patient scheduling process, clerical staffing and works with department director to coordinate medical staff schedule and staffing.
• Monitors duties assigned and performance of clerical staff in all clinic locations to ensure compliance of efficiency directives and a high level of productivity and customer service.
• Evaluates scheduling process related to volume and revises or improves procedures and work flow accordingly.
• Coordinates department safety plans in all clinics and is compliant with all UPH-DM required initiatives.
Education: HS diploma or equivalent required. Associate Degree in health, business management or related field preferred.
Experience: 5 years of experience in a clinical support staff leadership position.
License(s)/Certification(s): Valid driver's license to travel between clinics.
