$52k FTE + Benefits - Health & Vision Insurance POSITION SUMMARY: The Tribal Operations Coordinator will maintain tribal governmental records and assist in overall administrative duties and tribal operations coordination for the Nation. This position shall be responsible for assisting with Tribal Services, Tribal Council Minutes, Documents, Resolutions, Ordinances, and Tribal Publications, and video conferencing management & facilitation. DUTIES AND RESPONSIBILITIES: Include but not limited to the following:
Ability to perform highly responsible and complex administrative support to the Tribal Administrator and Tribal Council. Publishing of a monthly newsletter and annual report to the membership. Assists with preparation of all monthly Administration Reports and Tribal Council meeting packets. Process program assistance requests submitted by Tribal Citizens in a timely manner. Maintains, organizes, and periodically updates electronic and postal distribution lists of Tribal Chair's and Tribal Council's contacts with other Tribal government, Federal, State, and Municipal agencies. Coordinates all meetings for Tribal Chair and Tribal Council meetings including receiving and conferring with official visitors and public agencies wishing to conduct business with the Tribe. Schedules meetings, coordinates logistics for events such as, but not limited to, Council meetings, General Council's annual meeting, special events sponsored by Council, all public hearings and Council retreats. Make all preparations for the General Council annual meeting to be held on the 1st Sunday in November, and at other time periods set by the Tribal Council for regular General Council meetings throughout the calendar year. Gathers all PowerPoint presentations and handouts from entities that will be presenting at the meeting, coordinates with fiscal and administrative staff to ensure that all tables and chairs, TV monitors, food and refreshments are ordered and set up. Recruit volunteers to ensure that sign-in tables are covered, voting officials are available, computer and technical needs are addressed. Accurately records minutes of all Tribal Council meetings, public hearings, and other meetings as requested by Council. Publishes agendas and minutes to the online Public Files folder for historical preservation. Prepare agendas, meeting summaries and all related materials and maintain computer and paper files. Coordinates meetings and or events including logistics, food, and materials. Assist in the establishment and maintenance of an operational budget for Tribal Council. Prepares and processes ordinances and resolutions duly approved. Serves as custodian of official Tribal records: This includes all meeting minutes, resolutions, ordinances, codes, and future laws. Maintains, updates and places content on the Website that pertains to all Tribal Council meetings, annual General Council meeting, and public hearings. This position is also responsible for accuracy and quality assurance of information. Organizes and updates a variety of detailed records or materials. Works with electronic records and data files, including file transfer to and from internet/intranet sources, email, SharePoint, and Tribal Website. Maintains a high level of professional integrity and confidentiality. Perform other related duties as assigned by the Tribal Administrator. Assist other departments as authorized. SUPERVISION RECEIVED OR EXERCISED: This position is directly supervised by the Kletsel Dehe Wintun Nation's Tribal Administrator.
This position is not a supervisory position and is subject to the chain of supervision as defined in the most recently approved organizational chart of the Nation.
QUALIFICATIONS: 1. High School Diploma or GED Equivalent.
2. Two years post-secondary education or five years advanced secretarial experience or related training.
3. Word processing methods, techniques, and programs including spreadsheet and database applications.
4. Computer applications: Microsoft Office Word, Excel, Publisher, Access, PowerPoint
5. Ability to operate office equipment.
6. Minimum typing speeds of 55 wpm, certificate required at time of application.
7. Strong organizational skills.
8. Use correct English grammar.
9. Ability to work independently.
10. Ability to multi-task.
11. Attend trainings, seminars or meetings as required.
12. Possession of or ability to obtain certification as a Notary Public.
13. Ability to maintain Confidentiality.
14. Ability to work flexible hours.
