Job Description Summary Directs and oversees the design, implementation, and daily administrative activities of the Family Medicine Residency Program, supporting its 30 residents and the program's leadership team. Interprets policies, regulations, and accreditation standards, recommending and implementing new initiatives or updates to ensure compliance and program excellence. Evaluates the effectiveness of the program, identifying areas for improvement, and recommending and implementing changes to policies, procedures, or workflows as needed. Regularly provides updates to stakeholders on issues affecting the program and offers guidance on strategic decision-making. Represents the program at institutional, public, and advocacy group hearings, presenting key information and data for discussion and informed decision-making. Responds to inquiries from staff, the institution, the public, and the media, serving as the primary point of contact for program-related matters. Actively participates in the organization's decision-making processes to align the program with institutional goals and initiatives. This role requires strong leadership, communication, and problem-solving skills, with a focus on fostering a high-quality learning environment for residents and ensuring alignment with institutional priorities.

Work Shift Job Description Job Duties: 25% - Creates and strategically manages Qgenda scheduling for all family medicine residents, and assists with scheduling of transitional year residents, sports medicine fellows, and faculty, as it relates to reconciling coverage and call calendars for 38 residents and fellows and 30 faculty. Ensures all clinical sites maintain appropriate coverage across multiple hospitals and outpatient entities and ensures emergency coverage at all sites during times of declared storm events. Ensures clinical schedules are up to date and are scheduled in accordance with program, MUSC GME, ABFM, and ACGME requirements. Ensures all schedules are communicated monthly to preceptors and that all changes are communicated to appropriate parties in a timely fashion. Develops and maintains information systems for reporting performance and educational program evaluation data for the purposes of planning and assessment. Monitors and tracks leave to ensure compliance with all stated rules and regulations. Ensures any gaps in clinical coverage are addressed in a timely manner in order to minimize impact on colleagues and patients. Assists with managing the paging system to ensure accuracy and completeness for all residents and faculty.25% - Manages MedHub for all residents, including maintaining profiles, contact information, certification, and licensure data. Develops annual updates to rotation details and all aspects of evaluations. Completes cost-center reporting. Acquires and maintains Program Letters of Agreement (PLAs) for all non-hospital rotations per institutional and ACGME requirements. Responsible for the development and maintenance of the faculty/trainee development and evaluations. Actively ensures completion of all feedback and evaluation systems and disseminates summative feedback to appropriate parties. Actively participates in all program meetings, providing necessary summary reports and advising on needed changes when appropriate.20% - Utilizes working knowledge of Accreditation Council of Graduate Medical Education (ACGME) and the American Board of Family Medicine (ABFM) requirements to direct and manage all facets of the Family Medicine residency program with a high degree of independence. Completes residency program accreditation requirements, resident board certification requirements, and institutional program and resident requirements in accordance with published deadlines. Prepares documentation summary reports and schedules semiannual meetings for all residents with program leadership twice yearly. Attends once yearly conference travel in order to maintain current understanding and application strategies of all requirements. Applies and recommends new policies, models, procedures, and/or rule changes relating to the current or upcoming requirements. Independently makes day-to-day decisions and participates in and advises program leadership on potential changes. Maintains sustained proficiency in accreditation, board requirements, and institutional requirements. Responsible for verifications and credentialing of current and former residents according to GME and ACGME guidelines. Partners with program leadership concerning program management challenges and activities and participates in management decision-making processes. Maintains sustained involvement in national and regional organizations related to Family Medicine Graduate Medical Education.15% - Organizes and maintains the residency orientation and onboarding program that orients residents and fellows to the Department's educational programs, their responsibilities to these programs, and how to document their productivity within the ACGME. In addition, orient trainees to their roles and responsibilities, departmental programs to include use of intranet, on-call outlook calendar, distribution of assignments, and assignment of educational materials, rounding schedules, etc. Manages all appointment requirements for incoming residents and re-appointment requirements for current residents.10% - Independently plans various events for the residency program, to include Scholars Day (presentation of research and quality improvement presentations by 20 residents), residency graduation, and periodic seasonal events. Establishes and maintains the infrastructure needed to support special projects including but not limited to curriculum, new educational programs, initiatives/technologies, modules, evaluation systems, and cutting-edge research. Serves on Departmental and Institutional committees relevant to education and new innovations.5% - Coordinates attendance and materials for the annual AAFP National Conference, with intermittent attendance pending program needs. Leads the residency application process including review of approximately 800 applications for 10 spots annually. Coordinates interviewees and participation of residents and faculty, ensuring unbiased evaluation and selection. Manages NRMP rank list until time of certification by Program Director for successful Match outcome.Additional Job Description Minimum Requirements: A bachelor's degree and three years relevant program experience.
