University Advancement Events Manager Location Houston, TX (Montrose area) : University Advancement Events Manager Department: University Advancement As an integral part of the University's advancement program, this position is responsible for helping University of St. Thomas further its mission by raising critical funds and engaging donors and alumni through events. The position will play a pivotal role in coordinating and executing a diverse range of events, including fundraising, stewardship, alumni, and presidential events. The Events Manager assists with forward-facing donor and alumni coordination and behind-the-scenes event management. The person who occupies this role should demonstrate the required depth of experience and results needed to effectively work with these important constituencies. The successful candidate will be responsible for ensuring seamless event logistics, engaging with various stakeholders, and contributing to the overall success of University Advancement initiatives. This position reports to the Senior Director of Development, Annual Giving & Donor Relations, and is a member of the Donor and Alumni Relations Team which oversees Annual Giving, Alumni Relations, Stewardship, Advancement Communications, and Presidential and Advancement Events.
Essential Duties and Responsibilities Event Coordination:
Oversee events-related day-to-day activities ensuring that all involved in event planning communicate effectively with a commitment to customer service. Work closely with venues and vendors to secure and manage event spaces, catering, and other necessary services. Attend events, provide on-site supervision, and coordinate logistics for events on event day. Collaborate with volunteers and donors to enhance their involvement in events. Collaborate with various departments across campus, particularly Facilities and Catering, to ensure the smooth execution of events. Foster positive relationships with internal and external stakeholders. Marketing and Communications:
Develop event communication timelines, encompassing social media, mailings, and university publications (both digital and print). Engage graphic designers and videographers to create compelling visual content for events. Ensure cohesive branding and marketing strategies in accordance with university Brand standards. Sponsorship and Underwriting:
Craft solicitation materials for event sponsorship and underwriting, working closely with the Development Team. Identify and pursue opportunities to enhance event funding through strategic partnerships. Web Management:
Manage event websites, ensuring accurate and up-to-date information. Work with appropriate parties to optimize online presence and user experience. Budget and Finance:
Develop and manage event budgets, ensuring fiscal responsibility. Process all invoices related to events, tracking expenses against budgetary constraints. Qualifications and Requirements BA required, with a major in marketing, communications, or a related field preferred. A graduate of the University of St. Thomas is preferred. 3 years of successful experience in event planning and/or fundraising activities. Proven ability to work effectively with a diverse group of external and internal constituents. Demonstrated abilities to work independently and, at times, with work teams. Demonstrated effective verbal and written communication skills. Demonstrated attention to detail, ability to multitask, and work independently. Demonstrated ability to collaborate and work effectively in teams with a positive attitude. Strong organizational, logistical, and planning skills. Strong creative storytelling abilities to enhance the impact of events. Ability to work in a fast-paced, high-energy environment with a focus on service.
