The Human Health & Performance Systems Group develops human-centered technologies to overcome operational challenges and to enhance human capability in domains of interest to national security.
Our research programs focus on innovative and objective solutions in the areas of integrated wearable systems, human-machine teaming, enhanced communications, neurocognitive analytics, and medical technologies.
Our group is highly interdisciplinary and includes scientific experts in physiology, cognitive science, neuroscience, psychology, biomechanics, computer science, engineering, and physics.
Our core technical competencies include system-level modeling and gap analysis, advanced sensing and signal processing, machine learning and artificial intelligence, computational modeling, hardware and software prototyping, model-based systems engineering, and human data collection in laboratory and field environments.
Job Description
The Human Health & Performance Systems Group is seeking a?Group Administrative Assistant?to help with the responsibilities of the daily operation of the?Group, encompassing a wide variety of administrative support tasks.
?The candidate should be team oriented and possess strong communication skills.
An ability to work successfully with others is essential, as is the ability to work under pressure in a fast-paced, multi-faceted office.
The candidate is expected to possess a high level of professionalism in communication with senior management and other external parties, a strong level of discretion in handling private information, and excellent ability to maintain situational awareness of office and Laboratory level matters.
Specific tasks can be grouped into five main areas:
* Organization: The candidate will manage multiple calendars, a conference room calendar as well as coordinate internal and external visits and meetings and maintain office equipment and supply levels.?
The candidate will be the property coordinator for the group and serve as the point of contact for property.
The candidate should possess the ability to set priorities, manage multiple concurrent tasks in a fast-paced environment and provide proactive support for the Group Office by anticipating many of the administrative needs of the Group.
* Communication: The candidate must possess effective written and oral communication and interpersonal skills, and the ability to work independently under minimal direction and to effectively monitor details.
* Accuracy: The candidate will enter time sheets, process shopping carts and procurements, execute credit card procurements, arrange travel and process expense vouchers, submit facilities and IT work orders, as well as data entry into a variety of Laboratory web-based forms, submitting release reviews, creating and maintaining spreadsheets, composing and archiving correspondence for the office, and support other activities such as new hire onboarding and escorting visitors.?
May be tasked with providing coverage for admin absences in other offices.
* Professionalism: The candidate should possess a high level of professionalism in communication with senior management and internal/external parties and an effective level of discretion in handling private and classified electronic and hard copy information, as well as in escorting visitors.
* Special Projects: The position may require special project assignments including assisting in conferences and coordinating logistics for facility renovations and office moves.
Other special project assignments may be given depending on needs of the Group.
Qualifications
* High School graduate with at least 5 years of relevant experience
* Proficient in MS Office Suite (Word, Excel, PowerPoint, Access, Outlook) on a Microsoft Windows platform
* Must have a record of successfully working in a team environment along as well as willingness to follow Laboratory policy and procedures.?
Familiarity dealing with sensitive and confidential matters is a plus
* Proven record of organizational skill, attention to detail, ability to handle multiple concurrent tasks, and positive interpersonal behaviors needed to work successfully in a fast-paced, performance-driven, and respectful work environment
* Comfortable communicating with all levels of the organization as well as external guests in a professional manner
* Familiarity with SAP is desired.?
