Vice President and Chief Operating Officer Job Purpose The Vice President and Chief Operating Officer (COO) at Lili?uokalani Trust is responsible for overseeing program related operations, ensuring that programs, facilities, and priority projects function efficiently and align with the Trust's strategic vision. This role involves envisioning and developing operational strategies to ensure that LT's various program-related functions are cohesive, competent, and consistently adaptive. These functions include facilities management, risk and compliance, research and evaluation, program and practice development, strategic implementation, project management, and administrative affairs.
As a member of the Executive Team, the COO will provide the President and Chief Executive Officer, as well as the Board of Trustees, with data and strategic insights to inform development and planning decisions. This role is crucial in maintaining LT's program operations at the highest standards of functional efficacy and legal compliance.
Operations Leadership: Design and Implementation: Develop and implement operational policies and procedures, leveraging departmental expertise to ensure cohesion across all functions. Strategic Guidance: Lead the Trust's operations in executing LT's strategic plan, adapting as the organization grows and evolves. Process Optimization: Oversee the creation of efficient operational processes, particularly for program-related departments. Role Clarity: Define operational roles and responsibilities to ensure clarity among departments and positions. Reporting Excellence: Understand reporting requirements at the Probate, Executive, and Trustee levels. Consult with top institutions to develop clear, efficient reporting models. Collaborate with departments to establish reporting structures, data sources, and timelines for stakeholder reports. Program Development: Oversee the design, development, implementation, and evaluation of innovative, high-quality programs for Native Hawaiian children, ensuring best practices and data-informed approaches align with LT's vision. Budget Management: Manage departmental budgets and resource plans, ensuring accurate forecasting and optimal utilization. Data and Evaluation: Utilize data and evaluation methods to inform decisions. Risk and Compliance: Oversee the Trust's Risk and Compliance function. Consult with the Director of Risk and Compliance to evaluate and manage risks, ensuring compliance with all regulatory requirements. Legal Consultation: Consult with external legal counsel as needed to navigate changing environments and evolving targets. KPI Monitoring: Identify, monitor, and evaluate operational KPIs and strategic targets to ensure consistent improvement and progress towards milestones. Provide progress reports to the President and CEO as required. Operational Efficiency: Collaborate with Team Services to leverage internal resources for improving operational efficiencies. Incorporate feedback from department leaders into ongoing and upcoming operations statewide. Best Practices: Ensure the Trust upholds best practices across all departments and functions, maintaining its reputation as an employer of choice, community leader, and steward to our kamali ?i and their families. Facilities Leadership: Provide guidance and leadership to the Facilities Department, ensuring optimal operation of maintenance, custodial, and janitorial functions across all facilities statewide. Team Development: Service Alignment: Collaborate closely with the Chief Program Officer to ensure alignment on direct and indirect service processes. Executive Contribution: Actively contribute as a thought partner within the executive team, providing strategic insights and support to fellow executives. Leadership Coaching: Mentor and guide department leaders to ensure alignment with LT's strategic goals. Procure appropriate staffing across all functions and seek professional development opportunities for each team's functional areas. Performance Feedback: Provide feedback and direction on performance and professional development. Set expectations, goals, and success metrics to evaluate the progression and effectiveness of all functions and operations. Difficult Conversations: Address issues promptly with timely, difficult conversations when warranted, taking corrective action as needed, and following proper procedures and guidance from People Operations. Cultural Promotion: Foster LT's organizational culture of innovation, collaboration, and continuous learning and development. Promote cohesion across teams, prioritizing clear and transparent communication among teammates. Mission Alignment: Ensure leadership and their teams are knowledgeable about LT's mission, strategic path, and best practices, while adhering to organizational and professional standards and objectives. Qualifications Bachelor's degree in public or business administration, management, related field or equivalent experience. Master's degree, preferred. Minimum ten (10) years of progressive management experience in relevant fields. Operations Management is preferred. Must possess a strong background leading cross-functional teams, strategic plan execution, and change management. Prefer experience and knowledge of youth development and/or social services programs. Must be a strong communicator and presenter, in verbal, written, and public form. Works efficiently with a diverse team, encouraging critical and diverse thinking. Must be able to work in a dynamic environment and oversee various projects simultaneously, requiring strong organizational and time management skills. Experience with non-profit organizations and mission work is preferred. Experience with Mac products, Business Intelligence tools and advanced Microsoft Office Suite, preferred. Collaboration: Ability to interact effectively with youth, community partners, and multi-disciplinary teams. Knowledge of community resources and services. Communication: Clearly conveys and receives information and ideas to individuals or groups that engages the listener and invites response and feedback. Demonstrates good written, oral, and listening skills. Cultural Competence: Respects and relates well to people from varied backgrounds and is sensitive to group differences. Experience working with at-risk youth. While travel may not always be a need, the ability to travel when required remains a crucial aspect of this position in order to successfully contribute to our concerted efforts to carry out our Queen's legacy.
