Perform duties necessary for the smooth operation of the Service Department to include preparation of shop repair orders to be closed, keeping a duplicate file of all warranty claims, & assisting with care & timely shipping of failed warranty parts.
ESSENTIAL DUTIES & RESPONSIBILITES
Include the following.
Other duties may be assigned.
1.
Take all shop orders as the jobs are completed and see that all repairs are listed, all parts and labor are charged correctly to each condition.
2.
Prepare warranty on all repair order conditions that are covered under warranty & submit to Warranty Manager for approval to close.
3.
Prepare warranty in PMT for all failed parts bought by customers on counter tickets so Warranty Manager can submit the claim.
4.
Assist Warranty Manager with corrections in a timely manner to re-file all warranty claims returned with errors.
5.
Keep ledger of all parts returned for warranty.
Maintain record of all documents for proof of shipment & send copy to Warranty Manager weekly.
6.
Make and file copies of all claims, credits, debits, etc.
of each warranty.
7.
See that all parts are returned to the proper locations and on a weekly basis.
8.
Answer warranty questions for service, parts, and sales departments.
9.
Assist the Service Department in answering the telephone during peak periods.
10.Monitor open repair order report on at least a weekly basis to ensure proper document flow through the dealership.
MARGINAL JOB TASKS
Must be willing to do other miscellaneous tasks as required by & related to the business.
EDUCATIONAL REQUIREMENTS Minimum high school diploma required.
Any additional courses favorable, but not required.
Must be willing to take continuing education courses as deemed necessary.
WORK EXPERIENCE
Need a minimum of 1 year experience in parts or service with 2 years experience preferable.
Would be helpful to have worked with warranty but is not required.
MATHEMATICAL SKILLS & REASONING
Should be able to read computer generated reports, office reports, invoices, etc.
Should be able to compute numbers manually or by use of calculator or computer.
Also is required to operate computer terminals with keyboard and mouse, 10-key calculator, fax machine, and other various office equipment.
Must be able to use communicative skills to interact with customers, vendors, and co-workers in a positive and constructive manner.
