We are seeking a Temporary HR Associate (3 months) to provide critical support across benefit administration, invoicing, payroll, and new hire orientation. In this role, you will collaborate with both internal teams and external clients to ensure all processes are executed accurately and on time. We're looking for someone who thrives in a fast-paced environment, can manage multiple priorities with ease, and is highly organized. The ideal candidate will be resourceful, detail-oriented, and adept at following administrative procedures to ensure smooth operations. Strong communication skills and the ability to stay on top of tasks are essential for success in this role.
This is a temporary role (3 months, 40 hours/week)
\n What You'll Do:Benefit Administration:*Ensure all new hires and full-time (FT) employees are enrolled in benefits within 30 days of their start date.
* Regularly update and review employee profiles in ADP to ensure accurate benefit information.
* Serve as the point of contact for employees with questions regarding benefit offerings.
* Ensure benefit vendors are updated promptly with new hire information.
Health Insurance Claim Reconciling & Invoice Payments:* Process health insurance claim payments through both auto-debit and manual methods, ensuring timely and accurate transactions.
* Reconcile claims and expenses in the internal finance system, including vendor registration updates, budget allocation to relevant vendors and codes, and processing payment requests.
* Conduct end-of-month reconciliation for health insurance claims across affiliate companies, ensuring consistency and financial accuracy.
* Provide invoice processing support for various HR-related expenses, including talent acquisition, audits, and payroll, ensuring accuracy and timely resolution.
Fringe Benefit Administration:* Manage fringe benefit submissions, streamlining communication and approval workflows between employees, managers, and relevant stakeholders via email and Slack.
* Respond to employee inquiries regarding fringe benefits, providing clear guidance on policy details and submission procedures.
* Ensure the timely submission and processing of fringe benefit payments to employees, maintaining accuracy and efficiency.
Payroll Support:* Oversee bi-weekly timecard and Paid Time Off (PTO) request approvals to ensure accurate payroll processing.
* Coordinate with People Partner Team to ensure all timecard exceptions and missing items are addressed.
* Work closely with the payroll team to handle payroll-related calculations, retroactive payments, and communications with employees.
* Manage and submit state tax notices, including payment reconciliations and tax rate updates, via ADPCompliance.
New Hire Orientation:* Conduct New Hire Orientation on a weekly basis according to the new hire schedule.
* Review ADP profiles to ensure accuracy for exempt and non-exempt employees.
* Present an overview of health and fringe benefits during orientation.
* Provide guidance on HR Navigator for benefit enrollment and next steps.
* Act as the primary point of contact for any benefit or fringe-related questions for new hires.
What We're Looking For:Bachelor's degree in Human Resources, Business Administration, or a related field.2+ years of experience in benefits administration, health insurance claims processing, payroll, onboarding, or related HR functions.Knowledge of health benefits, fringe benefits, and payroll processes.Strong attention to detail with a focus on accuracy.Excellent communication skills, both written and verbal.Ability to manage multiple tasks and prioritize effectively.Strong organizational and time management skills.Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).Familiarity with ADP or similar HRIS platforms is highly preferred.
