Morgan Stanley's Wealth Management Global Investment Office (GIO) seeks an Executive Assistant to support the team with a variety of administrative, organizational, and logistical tasks.
The Executive Assistant will interface regularly with individuals at all levels across Morgan Stanley and outside the firm. She/he must have an excellent customer service orientation and the ability to manage a fast-paced work environment and juggle multiple, simultaneous projects. This is an on-site role.
Key responsibilities include:
• Managing the daily schedule/calendar for the GIO Managing Directors
• Handling all travel arrangements for the GIO Managing Directors (booking flights, hotels and ground transportation; collecting all relevant details and preparing trip itineraries; communicating with trip organizers)
• Organizing and submitting all expenses for the GIO Managing Directors
• Assisting team leaders with scheduling, travel arrangements, and expense submissions as needed
• Maintaining the team's master client and field engagement schedule
• Answering phone inquiries for the GIO Managing Directors and directing as appropriate
• Planning, organizing, and implementing events such as team meetings and retreats
• Performing administrative responsibilities such as maintaining files, photocopying, faxing, collating, etc., as needed
• Taking on special projects as assigned by the Managing Directors
Qualifications:
• Bachelor's degree preferred
• Four to eight years of experience in supporting senior executives - including heavy complex calendar management
• A detail-oriented self-starter with prior experience in a large corporation or financial services firm
• Excellent computer skills, including the Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel), Concur and Salesforce
• Exceptional writing, editing, and proofreading skills
• Familiarity with Morgan Stanley and the financial/wealth management industry a plus
• Excellent organization and time-management skills
• Someone who exhibits sound judgement with the ability to prioritize and make decisions
• Energetic and eager to tackle new projects and ideas
• Comfortable interacting with high-level executives
• A team-player capable of cultivating productive working relationships across the firm
Expected base pay rates for the role will be between $85,000 - $95,000 per year at the commencement of employment. However, base pay if hired will be determined on an individualized basis and is only part of the total compensation package, which, depending on the position, may also include commission earnings, incentive compensation, discretionary bonuses, other short and long-term incentive packages, and other Morgan Stanley sponsored benefit programs.
