Reporting to the Director, Employee Experience , you will manage the Axonify Headquarters office space in Waterloo balancing a multitude of priorities to ensure the smooth and efficient operation of the Office and liaise with various teams at our Toronto office. The Workplace Employee Coordinator aims to create and implement an unforgettable experience for our in-office Axonifiers, looking at everything we do through the lens of fostering inclusion and belonging in the workplace.
\n The impact you'll have:Managing and reporting on office capacity through Robin Powered (Tool)Act as the main point of contact and coordinate all vendor relationships for pest control, sanitization, cleaning, indoor mat cleaning, coffee, snack supplies, fire extinguishers, carpet and chair cleaners, window cleaners, waste removal, shred bins and HVACDaily walk-through check of the office to ensure safety and maintenance is reviewedProactively coordinating with Building Services on issues with cleaning, HVAC, lighting etc. to ensure any operational, janitorial issues are resolved quicklyPlan and maintain beverages and snacks with in set budgetMaintain seating design and prepare desks for designated or hotel seating arrangementsUpdate office décor as appropriate, such as for special eventsMaintenance of office space, ensuring they are well-stocked, clutter free, and welcoming; including light cleaning duties of common areasCollaborate with cross-functional teams, including IT, to ensure workplace policies and programs are executed and aligned with business objectivesOffice safety Act as on-site First Aid attendant or find backup when not availableAct as on-site health and safety SME and make recommendations to ensure a safe workplaceParticipate in Health & Safety Committee Office administration Provide confidential, executive admin support to the senior leadership team with expense reporting. Provide and manage office supplies to employees Coordinate logistics for virtual status Axonifiers who are visiting the office as needed, including hotel details and transportation between airport and hotelManage main phone line Front office management and reception, including visitor sign-in, tours, mail management, and all other shipping/receivingProvide administrative support to the Employee Recognition ProgramTracking and processing office experience expensesEvent Management Execution of company lunches and departments as needed for event coordinationSupport execution of various employee events as part of the Employee Experience TeamFacilitation of in office social initiatives including all related internal communicationsCollect data to measure the effectiveness of in office eventsEmployee Experience Assist with employee onboarding processesContribute to the design and execution of office-based employee experience initiativesSupport execution of various employee programsParticipate in planning year-round employee experience strategies What you'll bring:2+ years of direct experience in facilities/office managementProven experience as an Office Manager, Front Office Manager or Administrative AssistantExcellent time management skills and ability to multi-task and prioritize workKnowledge of office administrator responsibilities, systems and proceduresAdvance knowledge in MS Word, Excel, Outlook and PowerPoint is a must, along with strong analytical abilitiesDemonstrated problem-solving techniques and initiative to finding solutionsMust be extremely organized, work well under deadlines and have excellent verbal and written communication skillsA creative mind with an ability to suggest improvements and strong attention to detailPhysical Requirement While performing the duties of this job, the employee may be regularly required to stand, sit, talk, hear, reach, stoop, kneel, and ability to operate a computer, and keyboardRegular lifting, moving, and storing of inventory up to 20lbs is requiredOccasional assistance in moving furniture to support event setup will be required in this role
