About the Role
As the Workplace Experience & Finance Manager based out of the Boston Office, you will work to leverage technology, workplace design, hospitality, and office services to deliver a best-in-class workplace experience environment for all staff and services in scope. The ideal candidate will have strong financial acumen and be forward-thinking and hospitality-focused. They will have comfort working within shared desking environments with the ability to support facilities and workplace operations in a fast-paced environment.
In this role, you will drive and influence the daily operations including:
Workplace Services for employees and visitors, including Shared desking/hoteling management, Reception, Conference Center and/or meeting rooms, Pantry Service, Catering Orders, Onboarding, and Meeting/Event Management (office, segment, training, etc.).
Operations Services such as Facilities Management, Security, Repairs and Maintenance, Space Utilization (Hoteling, Lockers), Mail/Print/Supplies, Event planning, Records management, Consumables management, third party Vendor Management/co-ordination.
Stakeholder management and reporting – occupancy reporting and analysis for stakeholders, regular engagement with key segment leads to ensure workplace concerns are being met and that staff are communicated regularly to.
Budgeting and financial analysis support for the Regional Workplace Experience head.
What You'll Do
The Workplace Experience and Finance Manager may be called upon to assist with a variety of assignments within our portfolio of services, however, this role has a focus on workplace and facilities support as follows:
Proven understanding and strengths in managing, creating and maintaining budgets and performing analysis and benchmarking where needed. Strong excel skills needed.
Perform financial analysis and reporting for workplace and facilities operations, including tracking expenditures, forecasting, and variance analysis.
Monitor vendor contracts and agreements, negotiating terms where necessary to ensure the best value for services.
Implement cost-saving measures without compromising the quality of the workplace experience.
Oversee relationships with external vendors, including cleaning services, security, and maintenance contractors.
Lead workplace initiatives, such as sustainability programs, wellness activities, or community-building events, to foster employee engagement and well-being.
Understanding and delivering FTI Workplace strategy, goals and key initiatives. Partner with FTI management on delivery of strategic initiatives across all service lines and active training of staff across all Workplace Experience services in scope when needed.
Hands-on management and liaison between the onsite Workplace Experience team, FTI management and service providers, assisting with the coordination and scheduling of office, vendor, and building services.
Serve as a point of contact/power-user for space management system (Condeco) used for workstation and conference room assignments, including training and troubleshooting, escalating conflicts to management as needed.
Active onsite management of shared desking/smart working environment – performing and training team for daily regular walkthroughs and formal reporting on booking issues, booking volumes, and behavioral challenges.
Collect and analyze data related to space & workplace utilization, employee feedback, and workplace experience metrics to make data-driven improvements.
Proactive problem solving and focusing on strategic use of space to maximize utilization and efficiencies as needed or as requested.
Ensure floor checks are performed to ensure conference rooms are set-up correctly with proper equipment and amenities prior to the start of meetings. Escalate and resolve issues as needed.
Utilizing work order ticketing tools to field requests for assistance with maintenance requests such as temperature control, resetting lockers, etc.
Guide and assist staff to plan meetings and events (onsite or externally) to support business and workplace experience objectives. Examples include: facilitating segment meetings/events, executive meetings/town halls, colleague engagement events such as holiday and promotion/recognition events, as well as recruiting and client events.
Ensure stakeholders and complying with event guidelines in coordinating meeting and event needs (i.e., register expected guests, place catering orders, AV/IT needs), accurately recording information and escalating any conflicts or special requests as needed.
Accurate coding and entering of shared cost invoices.
Act as Workplace liaison for small projects (move/add/change/maintenance refresh projects) working with local team, and other groups as needed.
Regular to monthly engagement with Property Management to ensure operational commitments are being met (i.e. cleaning standards).

Basic Qualifications / Qualifications & Experience
Minimum of 8+ years of related experience in operations/facilities support and/or hospitality services delivering exceptional internal/external customer experiences. Heavy experience in shared desking and space booking management.
Bachelor's or Associate Degree preferred.
Candidate must be professional and service-oriented, collegial, and able to work effectively with colleagues, clients, and vendors at all professional levels.
Ability to work in new office environment and help create and socialize procedures for both client facing and Workplace office activities.
Team player with the ability to also work independently, meet multiple deadlines and respond to change.
Ability to maintain a professional, composed, demeanor, and to diplomatically deal with challenging situations to resolve or escalate with leadership as needed.
Excellent communication skills, both verbal and written.
Strong attention to detail, organization, time management and prioritization skills.
Advanced knowledge of Excel, Word, and PowerPoint.
Experience with space utilization technology (Condeco or similar) preferred.
