The Accounting Administrative Assistant at BiggsKofford will work with professional staff, including partners in the firm, to assist with the administration tasks associated with a CPA firm. The Accounting Administrative Assistant reports directly to the department management, supporting critical work functions of other team members, clients, and partners. To be a successful candidate, you will have: 5+ years administrative experience with increasing responsibilities Experience working in a financial or professional services firm Excellent Excel, Word, Adobe PDF skills, and Microsoft Outlook Applications Ability to multi-task, switching between projects throughout any given day Computer literacy with ability to learn multiple software programs Verbal and written ability to communicate professionally and effectively Self-motivation with attention to deadlines Excellent organization and time management skills Responsibilities: Manage deadlines for firm clients Assist with the workflow for different departments Maintain an organized filing system of electronic documents Drafting correspondence Uphold a strict level of confidentiality Managing incoming and outgoing correspondence, including emails, faxes, mail and packages. Sort and distribute incoming mail, through the post office as well as overnight couriers. Scheduling various meetings, lunch and learns, and department retreats Coordinate, order and set up food for departments events and meetings Provide support to the front office, including answering calls, greeting clients, and accepting deliveries Assist with various projects as assigned, ad-hoc. Requirements: Exceptional interpersonal skills Self-motivator with excellent organization skills Friendly and professional demeanor Competency in Microsoft applications including Word, Excel, and Outlook Strong verbal and written communication skills a must Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities Attention to detail and ability to multi-task is an asset.
