NVSU OFFICE ASSISTANT
Job Description
Purpose: Perform a variety of clerical tasks such as data entry, billing and receiving processing documents and maintaining the front desk.
Under general supervision of the Director and Manager of Neurology Vocational Services perform a variety of clerical tasks including data entry, billing and receiving, correspondence, editing and other duties in support of the program/department.
Duties:
Data Entry
Billing and Receiving
Billing - Processes billing from NVSU Staff members on a weekly basis, utilizing NVSU Client Database.
Files billing invoices.
Receiving - Processes all payments by depositing into UW CT Transmittal, mails all deposits in campus mail, and enters all payments into NVSU Billing Database on a weekly or biweekly basis.
Reconciles all payments.
Collections: Follows up with unpaid invoices on a monthly basis
Reporting: Provides weekly billing/ received reports to NVSU leadership
Maintain NVSU Client Database for purposes producing of regular (weekly, bi weekly, monthly) internal reports and for end of year Annual Report, Business review and CARF required documentation
Entering all client demographic information
Entering in AFPs, dates of service,
Updating Service categories
Updating/ entering vendors
Entering client jobs, companies
Follows all procedures per NVSU policies adhering to CARF standards
Answer telephones; respond to inquires from potential clients or other stakeholders regarding the criteria for services, provide directions and other information related to client intake and eligibility.
Sort and file documents by entering data into electronic files.
Perform word processing/keyboarding tasks such as creating forms, aligning text, setting margins and tables, saving/filing, spell checking and printing to produce letters, articles and other documents.
Creating mass email lists
Perform electronic mail tasks.
Draft routine forms and letters, assemble reports, enter and retrieve data.
Proofread material making corrections for sentence structure, spelling, grammar and punctuation.
Operate office equipment such as computer, copy and fax machine.
Performs web-based research in support of NVSU activities such as Job Club or Employers.
Perform related duties as required.
MINIMUM QUALIFICATIONS
Requires High School/GED AND one year of office clerical support experience OR equivalent education/experience.
