Job Summary and Responsibilities/Duties Job Summary
Performs a variety of clerical and administrative duties in support of the Applied Technologies, Business and CIS division.
Serves as receptionist and provides general information and assistance to student, faculty, staff, and the public.
Essential Duties Acts as the receptionist; responds to requests for information in person, by phone, and via email.
Provides information on division and program policies and procedures.
Escalates questions to the appropriate personnel as necessary.
Performs a variety of clerical tasks in support of the division.
Maintains calendars and faculty rosters.
Sends, receives, sorts, and distributes mail.
Coordinates meetings and agendas, and supports the dean in organizing and coordinating faculty and staff evaluations.
Tracks, maintains, and directs updates to the departmental webpage.
Assists in organizing specialized course materials and coordinating graphics orders.
Assists with coordinating logistics for class closures and testing.
Purchases supplies and instructional materials; researches product information for best cost and quality for requested material purchases.
Receives and coordinates foundation requests.
Collects information such as faculty syllabi, office hours, and book store inventory for division programs.
Tracks equipment failure information and submits work orders as necessary.
Organizes student tours.
Provides support to the Dean of Applied Technologies, Business, and Information Systems including correspondence, calendaring, projects, research, compiling data, and preparing reports.
Additional Duties Performs all other duties as assigned.
Minimum and Desired Qualifications Minimum Qualifications Education: High School Diploma or GED
Experience/Training: Minimum (1) year of related administrative and/or clerical work experience Proficiency utilizing Microsoft Word, Excel, and Outlook Experience working with diverse populations Preferred Qualifications Career certificate in a related field Experience working with database applications such as CX Knowledge of career education purpose and population Additional Qualifications and/or Knowledge, Skills and Abilities (KSAs) Knowledge, Skills and AbilitiesAbility to learn general college information and program-specific knowledge and expertise Ability to work effectively and collaboratively, providing a welcoming environment to students, parents, community partners, stakeholders, faculty, staff and all others contacted in the course of work Ability to learn and develop expertise to process, input, and extract a variety of data, reports, records and related information into multiple software programs and databases Ability to prepare and complete a variety of on-line and paper forms, spreadsheets, and narrative reports.
Ability to develop basic spreadsheets, tables, graphs and charts Ability to effectively handle confidential information and maintain confidentiality Ability to work independently with level appropriate direction, instruction, and supervision Ability to provide exemplary customer service in a courteous, prompt and efficient manner Ability to multi-task and manage and meet multiple deadlines Knowledge of strategies to diffuse potential student, staff and stakeholder distress and conflict.

Work is typically performed in a normal office environment while sitting at a computer terminal.
Visual eye strain and repetitive hand/wrist motion for data entry and keyboarding functions.
