Job Description

The Administrative Assistant provides support for the Director of DTS-Arabic in the daily administration of the department including organization, communication, record maintenance, and other administrative responsibilities as assigned.
They will be the first point of contact for the DTS-Arabic students.
Duties/Responsibilities:
* Answer the phone.
* Make appointments for DTS-Arabic members.
* Reserve conference rooms for departmental meetings.
* Submit work orders.
* Follow up on administrative tasks assigned to others outside of DTS-Arabic.
* Manages budget for department and reconcile credit card statements.
* Communicate with professors.
* Schedules travel and handles travel logistics for DTS-Arabic and for onsite/online hybrid courses.
* Assist in tracking and entering data in the DTS-Arabic database.
* Follow up on administrative tasks assigned to others outside of DTS-Arabic.
* Answer student emails and manage the department inbox.
* Stay abreast of processes and procedures impacting students and the department throughout campus.
* Provide general information about the department and its master's programs.
* Assist in coordinating promotional events and materials.
* Plans and coordinates DTS-Arabic meetings and events.
* Assist in some translation work
* Write official letters for students as needed, in both Arabic and English.
* Plan gatherings for DTS-Arabic graduating students
* Complete or assist other administrative duties as assigned.
* Send out the New Student Orientation Package to newly accepted students.
* Assist new and continuing students with registration.
* Serve as liaison between DTS-Arabic and Registrar's office.
* Translate students' communication letters to the Registrar's office as needed.
* Keep up with scholarship offers to prospective and accepted students.
* Communicate with students regarding outstanding balances.
* Remind students of payment deadlines.

Education and Experience:
* The successful applicant will have written and oral proficiency in both the Arabic and English languages.
* Must be personable and patient when talking with potential and current students.
* Must be organized, self-motivated, a problem-solver, and able to work independently.
* It is recommended that the candidate have a bachelor's degree, equivalent, or higher
Physical Requirements:
* Prolonged periods of sitting at a desk and working on a computer
* Must be able to lift up to 15 pounds at times
