JOB TITLE: Administrative Assistant- Front Desk
SALARY: $47,840/year
REPORTS TO: Operations Manager
STATUS: Full-time
SCHEDULE: On-Site, Monday through Friday, 9am-5pm EST


POSITION SUMMARY: Under the supervision of the Operations Manager, the Front Desk Administrative Assistant will be the first point of contact for the Office of Financial Aid; and will be responsible for clerical support including managing office communications (telephone, e-mail, and in-person) and addressing questions and concerns of students and families.
DUTIES AND RESPONSIBILITIES: Greet and welcome visitors to the Office of Financial Aid.

Manage front desk operations.

Provide customer services to students, families and other SVA employees.

Receive, review, and respond to phone calls and correspondence (including departmental email and voicemail messages)
Coordinate the flow of student traffic in the officeCoordinate in-person student appointmentsProvide word processing support for the director, associate director, operations manager, and federal work-study coordinatorProcess incoming and outgoing correspondence for the departmentData entry in our FAM systemsFile management, record keeping, and document imagingRepresent the department at special events (Open Houses, Orientation, Accepted Students Day, Workshops, etc.)Participate in special projects on an as-need basis, including compiling data and preparing reportsAct as a liaison to the SVA community and outside vendorsOther related job duties, as assigned. RESPONSIBILITIES – SUPERVISOR: None MINIMUM QUALIFICATIONS: Associate's degree required. Proven experience as a front-desk representative or in a similar role within an academic setting. Financial aid experience needed.Proficient with iOS, Android, Windows, and macOS. PREFERRED QUALIFICATIONS: Bachelor's degree preferred. Previous work experience in an academic setting. LICENSES & CERTIFICATIONS REQUIRED: None KNOWLEDGE, SKILLS AND ABILITIES: Knowledge of front desk operation practices and processesSkill in operating computers and related equipment, including knowledge of Microsoft Office suite applications.Skill in effective verbal and written communication.Skill in oral and written communication.Skill in data analysis and problem solving.Skill in working independently, handling multiple tasks and prioritizing.Skill in planning and organizingAbility to multi-tasks and work independentlyAbility to provide customer serviceAbility to work with frequent interruptions and changes in priorities.Ability to resolve problems or situations requiring the exercise of good judgment.Ability to establish and maintain good working relationships with other employees and the public PHYSICAL REQUIREMENTS OR WORKING CONDITIONS: This is an On-Site position. Work occasional evening and weekend hours as necessary Ability to sit for extended periods while working at a desk or computer. Proficiency in typing, using a mouse, and handling office equipment.
