Description Organizes and manages the department's routine functions to meet the objectives of the department and district while serving as administrative assistant to the Assistant Chief of Police Provides work direction for support staff Performs administrative duties including maintaining a filing system, processing routine correspondence, typing documents and correspondence, and signing routine correspondences as needed Receives telephone calls, personally handles matters of a diverse and confidential nature including answering substantive questions Maintains confidentiality of information contained in source documents Maintains daily attendance and payroll as needed Prepares/processes documents including the following: service agreements, contracts, travel forms, payroll corrections, maintenance/IT tickets Enters and processes requisitions as needed Schedule meetings for Assistant Chief Leave & Restrictive Duty Lists - weekly updates Facilitate the departure of Personnel from Resignations or Retirements Work with the Personnel Unit to prepare and schedule promotional ceremonies Work with the Personnel Unit to schedule promotional exams Files, Off-Duty Requests, Support Services Time Off Requests, Vehicle tag information Billing of department services Performs all other tasks and duties as assigned Qualifications Demonstrated proficiency in computer skills with software applications, Microsoft Windows, Microsoft Office Professional, Oracle, and other database systems Ability to successfully complete assignments with limited supervision Demonstrated task oriented self-starter with the ability to perform with a high degree of accuracy Demonstrated strong skills in record keeping and highly detailed oriented Demonstrated excellent organizational, communication, customer service, and interpersonal skills Demonstrated ability to meet established deadlines Demonstrated ability to remain focused in an environment of frequent distractions Demonstrated ability to communicate and interact effectively with a wide variety of district personnel and the public Demonstrated planning and problem solving/investigative skills as required to research inquiries Demonstrated ability to respond to common inquiries or complaints from department employees, parents, or board members Must possess ability to coordinate multiple projects and assignments; high degree of flexibility required Knowledgeable of District organization, operations, and administrative policies Bilingual preferred but not required
