Job Description
The Administrative Support Specialist is a multi-layered role that may support the functions of Growth, Marketing, HR, Finance, and various other departments as needed.
Job Responsibilities
* Support Regional Tradeshow process by assisting with tradeshow registration, gathering agendas, and sending calendar invites to attendees.
* Manage accounting process and payments, including new vendor setup and vendor maintenance.
* Process bi-weekly payroll; may include tracking and reporting time and attendance, entering commissions, and other related payroll in accordance with company policy.
* Calendar management, including maintaining multiple teams' Smartsheet calendars and general meeting scheduling.
* Assist in coordinating various teams' meetings as needed.
* Support sales and marketing functions, including assisting with marketing campaigns, managing sales materials, and coordinating sales-related events.
* Assist with various employee welfare initiatives such as appreciation events, achievements, and awards.
* Act as a point of contact for business card and literature ordering, travel assistance, and general administrative questions.
Provide support for Kronos, Concur, and other relevant Aramark applications.
* Performs other duties associated with the position that are reasonably assigned to support the overall needs of the business.
Qualifications
* Minimum of 5 years of relevant experience.
* Ability to work in a dynamic environment with openness to expanding and changing job responsibilities.
* Discretion in handling confidential material and high comfort level liaising and interacting with directors, executives, and other stakeholders.
* Strong communication (both written and verbal) and people skills; approachable with the ability to maintain positive relationships at all levels within the organization.
* Energetic personality with strong interpersonal communication skills and a service-oriented approach.
* Skilled in managing multiple tasks/projects, with the ability to work in a fast-paced team environment in a self-directed manner.
* Ability to adapt to and thrive in a rapidly changing business environment.
* Sense of ownership, initiative, collaborative and flexible attitude, with the ability to execute tactics to support strategic plans.
* Proficient in Microsoft Office Suite.
* Must have proven experience as a virtual assistant or in a similar administrative role.
* Ability to travel as needed to support events and company functions.
* Must have appropriate accommodations to work from home, including a reliable internet connection and a suitable workspace.
