Position Summary

Austin, Texas (On-site)

As an Administrative Assistant, you will utilize your excellent organizational and communication skills to provide support to some of the key members of our senior leadership team based in Austin or in remote locations in the US.
In this role, you will be part of a broader team of executive assistants who work together to assist the entire office and report to the Chief of Staff.


Responsibilities will include but not limited to managing calendars, coordinating travel, compiling expense reports, planning and coordination of meetings & events.
The role requires working both independently and collaboratively.


The ideal candidate will have an innate passion for providing exceptional executive support, is an adaptable team player who can manage several tasks and projects independently and ultimately contribute to the efficiency of our Austin office by providing personalized and timely executive support.


Key Areas of Responsibility Manage and prioritize calendars for the Executives assigned to you.
Responsible for planning domestic and international flights, hotel accommodations, transportation, itinerary.
Prepare and submit expense reports according to company policies and procedures.
Plan and coordinate meetings: logistics, budget, agendas, presentations, catering, etc.... for the Executives and their teams.
Assist with the coordination and execution of special projects and initiatives assigned by the Chief of Staff.
Provide general administrative support, invoices, mail, and supply ordering around the office as needed.
Highly collaborative and able to work effectively with multiple stakeholders.
Minimum Qualifications Associates degree; or equivalent work experience.
+ years' work experience in a prior administrative role in a business environment.
Proficiency in Microsoft Office Suite and other relevant software applications.
Excellent interpersonal, and communication skills with a professional demeanor.
Ability to prioritize work, be detail-oriented, meet deadlines and function as an integral part of a team with minimal supervision.
Maintain confidentiality and handle sensitive information with discretion.
