Administrative Assistant - Richardson, TX! Job Summary:
Provide administrative support to the Chief of Staff and Leadership Team.
Prepare expense reports, production reports and utilization reports on a regular schedule.
Assist with calendar management, meeting coordination, travel, events, and other administrative tasks.
Professionalism, confidentiality, adaptability and a positive, supportive attitude are key.
Level:
Works under moderate supervision.
Duties/Responsibilities: Schedule appointments and meetings for executives. Assist with document preparation and formatting. Support travel coordination for leadership. Manage incoming communications, including email and phone calls. Assist with project-related activities and document control. Collaborate with teams to support project execution. Maintain records and databases. Handle confidential information with care. Perform other administrative tasks as required.
Required Knowledge/Skills/Abilities: Previous experience as support staff to leaders. Proficient in Microsoft Office Suite. Strong organizational and time-management skills. Good communication skills, both written and verbal. Ability to work effectively as part of a team and across departments. Attention to detail and basic problem-solving skills. Willingness to handle sensitive information with professionalism.
Education, Experience, Licensure: (minimum qualifications) High school diploma or equivalent; college coursework is a plus. 2+ years of relevant administrative experience. Strong work ethic and eagerness to learn. Ability to adapt to changing priorities. Ability to interact professionally with colleagues.
Physical Requirements: (minimum qualifications) Prolonged periods sitting or standing at a desk and working on a computer. Must be able to lift up to 20 pounds. Must be able to travel for occasional off-site events.
