Job Description Position Summary
Provides administrative, clerical, logistical and procedural support to the Executive Director.
Responsible for answering and directing phone calls, providing information and resources to clients and staff.
Manages the business office to include bookkeeping, billing, and record management, HUD document oversight, if applicable.
Essential Duties Assists residents/clients, staff and customers - providing information and resources as needed.
May serve as the initial point of contact for the community or program.
Performs necessary accounting functions as directed such as processing resident/client bills, reconciling bank statements and properly coding and submitting to accounts payable.
May assist the Director in auditing financial performance.
Assists with developing procedures, policies, forms, reports, rosters, lists, and/or marketing information.
Creates and maintains files.
As needed, may conduct community tours, and provide appropriate follow up.
Inventories, orders and maintains office supplies.
Schedules and attends meetings as directed.
Provides clerical support such as developing agendas, taking and distributing minutes.
Assists with trouble shooting problems and is responsible for resolving minor complaints/concerns.
Establishes positive and effective working relationships with staff, residents/clients.
Other duties as assigned.
Qualifications Basic Qualifications & Experience High School diploma or equivalent, additional education and/or training preferred.
Work experience in a health care or senior living environment preferred.
Must be flexible and possess the ability to manage multiple priorities simultaneously.
Must have excellent keyboarding and word processing skills, including expertise in Word, Excel, Outlook, and Access and/or other word processing, data management and spreadsheet applications.
Must possess basic accounting skills.
Must demonstrate excellent customer service skills.
Demonstrated proficiency in the use of relevant technology applicable for the position.
Must possess excellent English communication skills, verbal and written.
Must be able to read, write and speak the English language.
Working Conditions / Physical Requirements Moderate physical effort required by handling objects up to 50 pounds occasionally and/or up to 20 pounds frequently.
Sits, stands, bends and moves frequently during working hours.
Is subject to frequent interruptions.
Interacts with residents, family members, and visitors frequently.
