Position Title
Administrative Specialist, Upward Bound
Job Summary
The Administrative Specialist will assist with the growth and development of all academic support services for the TRIO UB office.
The specialist will also help with other TRIO UB related responsibilities, which also includes event planning.
Required Knowledge, Skills, and Abilities

• Able to cooperatively work with diverse groups of students and staff
• Understanding of basic administrative processes and procedures
• Understanding of Microsoft Office Productivity Suite
• Understanding of basic computer operations and office equipment
• Demonstrates efficient keyboard and data entry accuracy and speed
Required Qualifications
• Associates degree
• Strong organizational & communication skills
• Experience with Microsoft Office Suite (i.e.
Excel, Word, PowerPoint, teams, etc.)
• Commitment to working with students from diverse backgrounds
Preferred Qualifications
• Bachelor's degree preferred
• Experience in Marketing, social media, and Communication strongly preferred
• Preferred pervious office experience
• Bilingual in Spanish
Physical Demands
• Work is normally performed in a general office environment.
• Work performed requires sensitivity and responsiveness to changing goals, priorities and needs.
• This position requires light physical activity and movement; employee must possess mobility to work in a standard office setting and use standard office equipment, including a computer; vision to read printed materials and a computer screen; and hearing and speech to communicate in person, before groups, and over the telephone or during virtual meetings.
Must possess the ability to lift, carry, push, and pull materials and objects up to 25 pounds with the use of proper equipment.

• Prepare reports, disseminate information to participants, and assist with Annual Performance Report (APR).
• Organize and maintain a confidential filing system and database on all participants and activities/services provided, handle project correspondence.
• Assist in the implementation of participant follow-up, coding in Ellucian Colleague and Blumen.
• Input participant data, records, and contact logs into Blumen.
• Create Purchase Orders (PO) from credit card purchases and other vendor invoices.
• Assist with monitoring budgeting accounts.
• Coordinate and plan all TRIO UB college visits and events.
• Conduct and/or assist with Orientations for all new participants.
• Assist TRIO UB staff in coordinating tutoring schedules, including matching tutors with participants; recording and tracking participants, recording, and tracking participants progress and after.
• Assist with the development and establishment of the mentoring program.
• Work with TRIO UB staff to help recruit, select, and train mentors.
• Design and present academic skills workshops to TRIO UB students throughout the year.
• Market all TRIO events, such as first-generation week, TRIO graduation, and cultural events on all social media platforms.
• Attend College Visits or Cultural Enrichment Trips, if needed (i.e.
occasional after hours, nights, and/or weekends).
• Perform other duties and responsibilities as assigned by the director of TRIO UB.
