As a Client Service Associate, you will provide essential support to advisors and clients alike, ensuring smooth day-to-day operations, and office administration, and delivering exceptional client service.
DUTIES & RESPONSIBILITIES:
Be the first point of contact for clients and visitors alike: welcome and assist clients, directing them to the appropriate advisor, and answering phone calls as needed. Reconcile daily price and transaction downloads from the custodian to the client reporting database, troubleshooting discrepancies to ensure accuracy. Coordinate with custodians and external partners (CPAs, attorneys, banks, etc) to handle client paperwork, including account openings, transfers, and ongoing account maintenance. Record and update client information in the CRM database. Assist with Quarterly Client Reporting distribution and mailings. Retain client statements in compliance with regulatory requirements. Oversee and complete general office administration tasks, including vendor contact and supply orders (everyone pitches in). Maintain various tracking and compliance spreadsheets. Provide miscellaneous support to the financial planning team, including CE registration, data entry, and creating bulk mailings. QUALIFICATIONS:
Minimum of 2-4 years of experience in the financial services industry is preferred, wealth management or custodial experience is a plus. Strong organizational skills and attention to detail. Proficiency in Microsoft Office programs; experience with Dynamics CRM is a plus. Ability to learn and adapt to new software quickly and effectively. Capable of working independently and producing high-quality results. Experience managing and ensuring the integrity of electronic documents and software information.
