The Contract Administrator is a key member of the business office team. The Contract Administrator position is responsible for coordinating, reviewing, and maintaining contracts and agreements for Kilgore College. Position responsibilities:Contract Review: The primary responsibility of this role will be to meticulously review contracts submitted to our department. The assistant will ensure that all pertinent information is included, such as key terms, conditions, and necessary attachments, and that the contracts are in compliance with our institution's guidelines.Database Management: The assistant will be responsible for entering all contracts into our contract database, ensuring that the information is accurate and up-to-date.Email Organization: This role will also include organizing the contract email folder, maintaining an efficient system for retrieving and tracking communications related to contracts.Communicate with vendors regarding contracts and agreements, renewals, cancellations, and general discussions.Historical Contract Review: The assistant will review all historical contracts from the past three years to ensure they are properly entered into the database, addressing any gaps in our records.Administrative Support: The position will include any other administrative tasks needed to support the department's operations. This can include backing up the Receiving and Purchasing Administrators as necessary.RangerPRINT Assistance: When needed, the assistant may also provide support at RangerPRINT, helping to ensure smooth operations across our services. Minimum Position Requirements:Must have excellent organizational skills and be detail-oriented.Must be able to interact verbally and in writing with vendors and all levels of personnel.Must be self-motivated and task-oriented.Must be able to prioritize assigned tasks and remain flexible in scheduling of responsibilities.Must have experience working with contracts and agreements.Knowledge of contract law, contracting procedures, and pricing methods.Ability to coordinate work activities to accomplish work assignments under time pressure and within pre-established and inflexible time limits.Ability to analyze and interpret contractual terminology, to determine contractor compliance and to resolve discrepancies concerning contractors and contract provisions.Two (2) years of progressively responsible purchasing experience or experience administering general or professional service contracts.Ability to effectively utilize computers and software including Microsoft Office Suite and other software required by the Department. Salary Range & Fringe Benefits:This position will work 20-25 hours per week.The rate of pay is up to $20 per hour depending on experience.Worker's compensation.Participation in the retirement program through Teacher Retirement System of Texas. Kilgore College does not participate in the federal Social Security program. As a result, employees/retirees of the college are subject to the federal Windfall Elimination Provision (WEP) and possibly the Government Pension Offset (GPO) laws.
