Job Title: Director of Admissions and Family Relations
Reports to: Head of School
Start date : We are looking to hire for the ******** school year, which begins July 1st.
Job Description and Duties: The Honolulu Waldorf School, a small private school located in Niu Valley on the East side of Oahu serving children in preschool through grade 8, seeks a Director of Admissions and Family Relations. This position is multi-faceted, so we are looking for someone who is comfortable serving in multiple roles and is able to prioritize and balance their various responsibilities. In general, this person's primary responsibility is to recruit new enrollment, provide a warm welcome to current and prospective families, manage our enrollment strategy, work to support and maintain strong relationships with all enrolled families, thus helping to continue the school's history and value of community.
Duties include but are not limited to:
Admissions
Managing and overseeing the admission's process
Serving as the initial contact for all queries (phone, email, in person) and responding in a timely manner
Guiding families through the admissions, enrollment, and re-enrollment process
Arranging and leading personalized 1-1 admissions tours
Coordinating with faculty about class visits, interviews, and admission's decisions
Distributing application, enrollment and re-enrollment materials
Attending and representing HWS at outreach events
Coordinating volunteers for enrollment retention and outreach events
Maintaining leads/prospect information and student lists in school database
(currently BigSIS); enrolling and registering students in classes
Managing the International Student program
Family Relations
Collaborating with the school's Parent Hui Chairperson to communicate and assist with parent meetings and volunteer opportunities.
Coordinating parent events to build relationships and provide parent education
Collaborating with the Director of Advancement and Community Relations on events or other fundraising initiatives that overlap with the parent community
Maintaining an "open door" with parents and build trust so they feel comfortable communicating their concerns, questions, and sharing ideas.
Administrative
Assisting the Tuition Assistance Committee to facilitate the tuition assistance and scholarship award programs
Attending faculty & staff, collegium, BOT meetings as requested, and other professional development, such as conferences
Providing reports and data to Head of School and BOT as requested
Collaborating with Director of Marketing and Communications regarding creation of marketing plan and school communications
Completing PATCH/Open Doors documents and surveys
Completing annual DASL national survey
Working with FACTS, the school's Tuition management system
Essential qualifications: Bachelor's degree or equivalent in Education, Communications, Marketing, or related field. Previous experience in admissions, teaching, marketing, or related field, ideally in a school setting is preferred
Demonstrated strategic and long-range planning skills
Impeccable writing, editing, speaking, and listening skills, and correspondingly high standards of professionalism in performing all job duties
Proficiency in appropriate software applications necessary for the execution of duties
Demonstrated track record of delivering quality, timely results both as a member of a collaborative team and as an individual
Evidence demonstrating a high degree of organization, and ability to manage multiple projects simultaneously
Evidence demonstrating discretion and good judgment in individual decision-making
Demonstrated track record as a positive, productive colleague in working with adults, ideally in a school setting
Demonstrated track record as a positive adult presence in the lives of young people, with an awareness of the role boundaries between school staff, students, and parents
Evidence demonstrating skill in collaborating and building consensus with internal and external stakeholders at all levels
Understanding and appreciation of the culture, history, and diversity of Hawai'i
A personal demeanor that demonstrates empathy, industriousness, and kindness

Preferred qualifications Experience working in a school environment
Knowledge of revenue-based enrollment management
Understanding of current market trends and ability to translate that understanding into successful enrollment management objectives
An understanding of Waldorf/Steiner education
Prior experience with independent school admissions
