About the job Executive Administrative Assistant (Remote)
This position requires a self-motivated professional who is skilled in a full range of administrative support functions.
This position supports the Human Resources Department and is responsible for the Departments day-to-day administrative needs including answering phones, ordering supplies, managing calendars, and coordinating meetings.
This individual will report to the Human Resources Manager.
Duties and Responsibilities include, but are not limited to: Calendar management for the Human Resources Manager Responsible for office cleanliness, office supply inventory, and organization Miscellaneous filing, record keeping, and data entry as needed Assembling orientation and benefits packets, setting up personnel files Assembling data lists and/or reports Managing employee event coordination Reconciling department expenditures Assisting with recruiting (e.g.
tracking applicants, scheduling interviews) Writing, proofreading, and formatting email correspondence Manage food orders and distribution during department events Maintain an in-person presence in order to support ad-hoc requests from team members and employees Required Qualifications: Dependable, able to follow instructions, responsive to management direction, and a strong desire and willingness to improve and learn through feedback Ability to maintain the highest level of confidentiality in both internal and external relationships Excellent customer service skills including the ability to interact with a variety of different personalities and communication styles Excellent verbal and written communication skills including a follow-up/status update mindset and excellent active listening skills Proficiency in Microsoft Office programs (MS Word, MS Excel, MS PowerPoint and MS Outlook) Ability to effectively read and interpret information, present numerical data in a resourceful manner, and skillfully gather and analyze information Essential Job Functions: Requires mobility and the ability to bend and reach May infrequently require lifting, carrying, pushing, and/or pulling materials weighing up to 30 pounds.
Manual dexterity and coordination are required; repetitive hand motion (e.g., to operate computer keyboard) Vision at close distances and the ability to adjust focus for prolonged periods (i.e., computer screen) Ability to remain sedentary or stationary for prolonged periods of time Ability to write for extended periods of time Ability to work in an office setting for prolonged periods of time May be asked to carry up to 20 lbs.
