Job Title: Executive Assistant to the CEO Location: Wyoming, MI Job Type: Full-Time We are a fast-growing Immigration firm dedicated to helping our clients gain legal status in the United States. This role will also help our clients explore all legal options available to them and assist them at all stages of their immigration journey. Position Summary: The Executive Assistant to the CEO will act as a trusted partner, managing the day-to-day administrative operations, ensuring effective communication, and providing high-level support. This role requires discretion, forward-thinking, and the ability to juggle multiple priorities, making it essential to have excellent organizational skills and a calm, professional demeanor. Key Responsibilities: 1. Administrative Support: • Manage the CEO's calendar, schedule meetings, and coordinate travel arrangements. • Prepare agendas, documents, presentations, and briefing materials for meetings. • Handle incoming correspondence and communications on behalf of the CEO. • Anticipate the CEO's needs and provide proactive support. 2. Project Management: • Assist with special projects and initiatives led by the CEO, ensuring timely follow-up and tracking progress. • Research and prepare reports, proposals, and presentations as requested. • Work closely with other departments to align on project timelines, deliverables, and goals. 3. Communication and Liaison: • Act as the primary point of contact for internal and external stakeholders, filtering communications and relaying important information. • Maintain confidentiality and exercise discretion with sensitive information. • Draft, proofread, and manage professional correspondence on behalf of the CEO. 4. Event Coordination: • Plan and coordinate company events, executive offsites, board meetings, and other engagements. • Coordinate with vendors and venues, manage logistics, and ensure all details are executed flawlessly. 5. Office and Task Management: • Oversee office operations, supplies, and resources for the executive suite. • Manage budget and expense reports related to CEO activities. • Implement and maintain systems for tracking, organizing, and prioritizing tasks and projects. Qualifications: • Bachelor's degree in Business Administration, Communications, or related field (preferred). • Proven experience as an Executive Assistant or in a similar role supporting C-suite executives. • Excellent organizational and multitasking skills with a high level of attention to detail. • Strong verbal and written communication skills, with the ability to manage complex and sensitive information. • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management software. • Discretion, professionalism, and a proactive attitude. • Ability to work independently and handle a fast-paced environment with changing priorities. This is a full-time position. Salary $52,000 and is commensurate with experience.
