Primary Responsibilities
HDR is looking for a Field Service Administrative Assistant to join our Construction Field Services team in our Kansas City office.
Job duties include, but are not limited to: Type, revise, and combine materials such as correspondence, reports, records, forms, meeting minutes, scientific or technical material, numerical data, and tabular information from rough drafts, copy copies, or previous versionsProofread and edit documents for grammar, spelling, punctuation, and formatProvide support for staff as needed, including backup reception duties, answering and directing telephone calls, delivering messages, greeting employees and visitors, scheduling conference calls, and distributing incoming faxes and mailComplete word processing as needed, including letters, memos, reports, and labelsProvide meeting setup, travel arrangements, light accounting, and other miscellaneous tasks/projects as neededPreparing and maintaining construction project records and reports which includes entering information into computerized construction management systems such as SiteManager, AASHTOWare Project, or similar databasesUtilize spreadsheets to record, organize, and retrieve dataCreate and maintain files of project documents using both hard copy and electronic meansPrepare project documents such as payment estimates, change orders, and other documents required during the administration of construction contracts Review administrative submittals from contractors to ascertain compliance with state and federal wage standards and other contract requirements.Assist with the preparation of final project records upon completion of construction projectsCoordinate with field inspectors to obtain required construction project documentationCommunicate with contractors, government, and other agency representatives to obtain or deliver data, instructions, and documents through verbal, paper, or electronic methodsPerform other duties as assigned Qualifications Required Qualifications High School diploma or equivalent Minimum 5 years of experience in office administrative and clerical work Excellent verbal and written communication including grammar, punctuation, proofreading, spelling, and telephone skillsFlexibility and ability to prioritize and handle multiple tasks and various managers in a fast-paced environmentSelf-motivated, well-organized and detail-orientedAbility to handle confidential informationSkilled in the use of office equipment such as calculators, copiers, and computers including MicroSoft Word, Excel, and OutlookSkills to perform basic mathematical calculationsAn attitude and commitment to being an active participant in our employee-owned culture is a mustAbility to successfully pass pre-employment drug screening and motor vehicle background check Licensed to operate motor vehicles in accordance with applicable state law Preferred Qualifications & Experience Associate degree preferredDemonstrated experience in construction project administration, with specific preference given to experience with Department of Transportation contractsAASHTOware Project or SiteManager experience preferredStrong people skills, and ability to interact positively with the project teamThe ability to exercise deductive reasoning and independently resolve problems Why HDR
