Junior Project Accountant




Impact XM develops solutions for virtual and live events.
We are looking for a Junior Project Accountant to join our team.
Junior Project Accountant participates in supporting the account teams and Finance with oversight and management of client related financial activities.
They take all appropriate and necessary actions to ensure clients regard Impact XM in high esteem and have significant confidence in the support provided.




RESPONSIBILITIES:




Primary Responsibilities:




The primary function of the Junior Project Accountant will be to own and be accountable to all financial administration across the individual events within the account.
Ownership of the overall financial health of the account will sit with the Account Team – Account Managers and Account Directors.




This is a supporting role that allows the account team to dictate the financial reporting and administrative requirements but the finance coordinator is there to support and service those requests.




Prepare internal written documentation including; budget summaries, invoice drafts, invoice and check requests, payment processing,


Prepare client facing documentation including; event proposals, reconciliation reports, finance trackers, rental usage reports, hotel and accommodation receipts,


Collaborate with both the account teams and the meetings and event teams effectively to deliver on all required financial documentation requests


Maintain accurate and complete client and project files


Participate in updating team forecasting and budgeting information in the PROJECT SYSTEM (internal project and financial management software)


Participate in actively keeping the CRM database and projected project values up to date


Create and maintain spreadsheets in Excel


Responsible to gather, save and upload financial documentation to client portals for audit and review – this is required for every project




Implementation:




Be fully informed regarding client and project status.
Be prepared to independently answer questions related to the financial status and documentation on each assigned project


Proactively review the event program you are assigned to in order to get ahead of all project requirements and adhere to project timelines.
Key financial deliverables within a project timeline are:


Booth Space Documentation and Payments, Wire Transfers


Sponsorship Documentation and Payments, Wire Transfers


Housing and Registration Payments, Wire Transfers


PO Processing


'Transfer of Value' Reporting


Monthly Credit Card Reconciliations


Document Submission for Client Audits


Support day to day management of assigned accounts


Attend and monitor planning meetings to assist account management in the communication of financial deliverables and updates.


Exhibit HIGH proficiency in Microsoft Word, Excel and PowerPoint programs in order to prepare financial summaries, correspondence and presentations


Assist in arranging travel plans for team members across clients and projects and track costs back to client budgets


Prepare project invoices that conform to Impact XM requirements and agreements with clients




REQUIREMENTS & SKILLS:




Associates' degree (A.A. or A.S.) from four-year college or university; and 1-2 years' experience in a similar role and/or training; or equivalent combination of education and experience.

Identifies something valuable in being part of a team and ability to effectively collaborate


Effective communication skills are required: including the ability to prepare written documentation


Exhibits the ability to multi-task, and operate under time constraints and immovable deadlines


Good organization, detail and follow-up skills are required with the ability to manage and reset priorities in a rapidly changing environment


Proficient using Microsoft Office programs
