Life Administrative Assistant - Part-time Kansas City Life Insurance Company, a recognized leader in the insurance industry, is seeking an energetic, self-motivated individual to join our Operations department.
The ideal candidate would meet the following requirements:
QUALIFICATIONS/REQUIREMENTS:
* Bachelor's Degree or Certified Administrative Professional (CAP) designation preferred.
* At least two years of administrative experience required.
* Strong comprehensive proficiency with Word, Excel, Outlook, PowerPoint, Visio, Adobe Connect, and Smart Sheet.
* Excellent communication and interpersonal skills.
* Ability to interact with all levels of the organization in a professional manner and maintain the integrity of confidential material.
* Must possess the ability to prioritize tasks, to perform multiple tasks effectively and concurrently, and to work well under deadlines in a changing environment.
* Regular and reliable attendance and punctuality is an essential function of this position.
DUTIES/RESPONSIBILITIES:
* Operations Management Support: Responsible for supporting operations, including maintaining and ordering office supplies, maintaining copiers and printers, distributing mail, shipping packages, handling certified mail forms, routing publications, etc.
Provide support to claims by mailing tracking and mailing all out-going claims checks.
Coordinate for department/floor onboarding, transfers, and associate exits by processing appropriate forms and executing required procedures.
Assist and coordinate the electronic execution of sales webinars as necessary.
* Expense Management Support: Provide Expense Management Support, including completing monthly budget activity and variance reports, completing monthly vendor expense spreadsheets, reviewing budget invoice details monthly to ensure accuracy, remitting payments to external vendors and agents, conducting invoice allocation and reconciliation, and participating in annual budgeting process.
* Vendor Management Support: Manage contracts, agreements and relationships with assigned external vendors, and complete vendor administrative functions.
* Project Support: Create and update calendars and project plans, distribute reports, set up meetings, and participate in team meetings as needed.
Provide support for various administrative projects periodically.
* Program Management Support: Maintain, update and distribute business continuity plans.
Ensure compliance and adherence to record retention guidelines and assist in record disposal schedules.
* Administrative Support: Answer incoming phone calls.
Assist agents and customers in person, by phone, and by email.
Answer general phone lines and fax mailboxes.
Provide administrative support as needed for meetings and other special events.
Provide expertise in Microsoft Office products as requested, especially PowerPoint and Excel and Smart Sheet.
Provide administrative support, including but not limited to creating and approving expense reports for AVPs, preparing meeting minutes, letters, and correspondence, and providing assistance with meeting preparation including equipment setup and catering.
Assist in the development, maintenance and distribution of department monthly reports, including owning the PTO calendar.
Assist with travel planning and coordinate move activities and logistics.
* Perform additional duties as requested by Management to support the Columbus office.
* Assist with special projects and perform other duties as assigned.
